We are seeking an experienced, competent Office Administrator/Bookkeeper/Accounts specialist to help our small management team in the administrative side of our business. The job is part-time, involving 9 hours per week in 3 morning shifts and is a fixed term 9 month contract to cover maternity leave. The responsibilities of the job are varied and interesting. It would suit someone with parenting or caring responsibilities who wishes to work a limited number of mornings per week as part of an informal and friendly family business.
Pheasants Hill Farm Ltd is a family owned small business based just outside Killyleagh County Down. The company produces and sells specialist, free range and gourmet meats through 3 websites to customers all over Northern Ireland, Great Britain and Ireland.
Job Duties: - Perform general administrative duties involved in running our small business - Deal with customer enquires via phone, email and our Chat service- Handle emails and post and maintain records and files - Deal with the administration of customers online orders - Book courier service for shipping of customer orders. - Assist with data entry and clerical tasks - Pay supplier invoices and input data to Xero online accounting software. - Order supplies from our packaging suppliers - Maintain confidentiality of sensitive information.
Qualifications: - We are looking for
- a can-do attitude and an ability to work in a team and multi-task.
- 5 years proven experience in an administrative or office support role
- Excellent phone etiquette and communication skills
- Excellent customer service skills because a large part of the job involves dealing one to one with our customers in a friendly and professional manner
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficient in data entry and clerical tasks
- Familiarity with standard office software
- A qualification and a minimum of 2 years experience in book-keeping and accounting using online accounts software (Xero)
- Ability to work under pressure
- Strong attention to detail and accuracy.
