Overview


We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing the day-to-day operations of the office, providing exceptional customer service, and ensuring efficient office management. This role requires strong communication skills, proficiency in various software applications, and the ability to multitask effectively in a fast-paced environment.

Responsibilities



Serve as the first point of contact for visitors and clients at the front desk, demonstrating excellent phone etiquette and customer support. Manage multi-line phone systems, directing calls appropriately and handling inquiries with professionalism. Perform clerical duties including data entry, filing, and proofreading documents to ensure accuracy. Maintain organized records and assist with calendar management for scheduling appointments and meetings. Utilise XERO for bookkeeping tasks and financial record keeping as needed. Provide administrative support to staff members, including typing correspondence and preparing reports using Microsoft Office and Google Workspace applications. Assist in managing office supplies inventory and ordering materials as necessary. Support customer service initiatives by addressing client concerns promptly and effectively. Collaborate with team members to improve office processes and enhance overall efficiency.

Qualifications



Proven experience in an office administration role or similar position, with a strong background in clerical tasks. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Familiarity with XERO is preferred but not required; willingness to learn is essential. Excellent organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail. Strong time management skills to prioritize tasks effectively in a busy environment. Prior experience as a dental or medical receptionist is a plus but not mandatory. Demonstrated ability to provide exceptional customer service and support in a professional manner. Experience as a personal assistant or in office management is advantageous.
