We have a great opportunity for an experienced administrator to join our friendly service team at our Caerphilly based office.
We are seeking a detail-oriented office administrator to join our team. The ideal candidate will be proficient in office operations, possess excellent organisational skills, and have a strong understanding of administrative tasks.
You will be responsible for making and receiving calls to customers and suppliers. Along with managing engineer's work alongside the team. You will undertake administrative duties using our in-house systems to update records, process paperwork and filing. You will be responsible for our engineer field software and ensure effective job allocation and processing.
Requirements:
- Previous administration and customer service experience is essential
- Strong communication and interpersonal skills with excellent telephone manner
- Ability to multitask and prioritise tasks in a fast-paced environment
- Proficient computer skills and digital literacy is necessary, however training will be provided
- Able to work well as part of a team
- Ability to maintain confidentiality of sensitive information
- Strong attention to detail and accuracy in all work performed
- Ability to use initiative and manage deadlines effectively.
- Excels in a fast past environment.
Responsibilities:
- Manage office operations including engineer rota and annual leave and ensure efficiency in daily activities
- Answer and direct phone calls with professionalism and courtesy
- Utilise computerised systems for data entry and record-keeping
- Assist in clerical tasks such as typing, filing, and photocopying
- Maintain office supplies inventory and place orders when necessary
- Coordinate appointments, meetings, and travel arrangements
- Handle incoming and outgoing correspondence
- Deal with engineer's paperwork and job allocation
-Maintain accurate list of vehicles and records
Skills:
- Proficient in Microsoft Office Suite and Google Suite
- Strong phone etiquette and communication skills
- Experience with data entry and record management
- Knowledge of for financial tasks
- Excellent organisational abilities to manage multiple tasks efficiently
Working hours are Tuesday to Friday 9-4.30 however alternative working patterns may be available. Fixed term 9 months
