Office Administrator/ Coordinator

Trowbridge, ENG, GB, United Kingdom

Job Description

Are you looking to become an important member of staff in a small, friendly team? Then we've got the perfect role for you!

We are looking for a reliable, dependable person for our small office who will find it easy to fit into a small, friendly (incredibly busy) team.

This is a key role, carrying out important support work for all members of the team and you will definitely be depended on to get the job done.

What is the job?

Well, here is an idea of the main duties, but you must have a flexible approach and be willing to pitch in where help is needed:

Liaising with our manufacturers in Europe and Southeast Asia to ensure our orders are dispatched on time and as confirmed Doing battle (at times) with our couriers and road freight partners to make sure our shipments don't get stuck somewhere and miss delivery deadlines Creating shipment/ delivery reports for dispatch and warehouse teams Keeping our valued customers up to date on the delivery of their orders, advising them in good time of any potential delays or changes Making sure customers have received their order and everything is perfect Following up on quotations, making sure they have been received by the customer and recording feedback Compiling valuable feedback reports for management and manufacturers Helping with basic finance tasks - credit control, statement sending - at certain times of the month Sending approved marketing emails and updating social media Answering calls and emails in a timely manner Keeping the office running

And you?

You are going to be an outstanding administrator with bags of experience in a similar role, and all the following:

Proficient in Excel, Word and Outlook Excellent spelling and grammar Highly accurate and a consummate proof-reader Proactive and able to think on your feet Psychic...sort of. You need to think things through and predict potential problems, acting to avoid any disasters accordingly Possessor of so much commonsense you outshine the rest of us First class communication skills, written and verbal (and that includes speaking up when you think things can be improved on) Provider of first class, premium customer service and not afraid to build a relationship via phone/email with someone you've never met Efficient timekeeper and able to work to deadlines...to be honest, just super-efficient will do it, along with the ability to juggle lots of different tasks (and people) all at once without letting the high standards drop whilst you get the job done.
You can make this role your own (we LOVE self-starters who want to learn and take an active interest in our products and what we do). Want to learn a bit of finance? Sure! Want a bit of training in dispatch? Crack on! Your success within our team is entirely up to you - we'll support and encourage you along the way.

And in case you're wondering....

We are a small (but mighty) precision engineering company, established way back in 1991 and successful ever since. We act as the exclusive UK and Ireland distributor for some world-leading manufacturing partners who we are proud to represent.

We're constantly working on improving ourselves, (never resting on our laurels), and customer service is our driving force - our customers mean everything to us, and we want them to walk away from any order feeling pleased with the service and products they have received from us. We have customers who have been with us since we started, so we must be doing something right!

Do you think you can jump onboard and make a huge difference? Apply now via the link below with your CV and a covering letter addressed to our Managing Director (she'll try her hardest to respond to everyone within 5 working days, but it depends how overrun she gets so please be patient).

The other important bits....

Salary range 25,000 - 28,000 dependant on the experience and skillset you're bringing to the table.

Permanent, fulltime, office based (although one of our goals is to offer hybrid working in the future...perhaps you can help us with that!)

Other things: Company pension, 25 days holiday per year (plus bank holidays), the occasional bonus if we're doing well, 37.5 hours per week and a nice early finish on a Friday to get you into the weekend.

Sometimes, every now and then, there is a bit of travel involved, (UK and Europe), so you need to be prepared (and willing) to throw in a few extra hours when needed and have some overnight stays away from home...you'll need a full, clean driving licence and a current passport, of course.

We don't need any agencies at this time, thank you - please don't ring or email us about the role, it's just incredibly annoying and a massive timewaster and we really hate being rude to persistent callers. We'll contact YOU if we need to.
