Job Description

East Fife Joinery Ltd (EFJ) is a Fife based, family run company. Established in 2007, offering a range of trades and building services. Operating throughout Fife, Edinburgh central belt and Tayside, projects range from minor works to large scale commercial projects. We are currently recruiting an office administrator to join our team at our head office in Colinsburgh, Fife. We are looking for an exceptional candidate with great attention to detail and organisational skills. The candidate must be highly motivated and enthusiastic, whilst being able to work under their own initiative but also as part of a small team.

Job title: Office administrator

Type: Full time, permanent. Immediate start available.

Hours: 36.5 hours per week (8.30am - 4.30pm Monday to Thursday, 8.30am - 3.30pm on Friday with half an hour lunch break)

Salary: Negotiable dependant on experience

Responsibilities:



Be the joint first point of contact in the office, including answering telephone calls, emails and face to face enquiries

Purchase ledger administration, including processing purchase invoices

Processing employee weekly timesheets/working hours

Creation of subcontractor payment certificates

Tender set up process through to tender submission. This includes printing documents, collating information, communicating with sub-contractors/internal colleagues and submitting all documents to clients

Dealing with general enquiries from site managers and office management

Communication with internal colleagues, management and external bodies

Databasing, filing and archiving

Any other admin duties as and when required

Qualifications, Requirements and Qualities:



Must have knowledge of office procedures acquired through qualification or by work experience in an office environment Basic IT skills are critical Must be competent in Microsoft Office - specifically Outlook, Word and Excel The ability to learn new computer applications is essential Good organisational and communication skills are mandatory - both written and verbal Great attention to detail and ability to work methodically through tasks An analytical mind with a keen eye for detail and desire to probe further into data Deadline - orientated and an ability to stick to time constraints Personal qualities - well organised, trustworthy, reliable, self-motivated, good time keeping and a team player A background in the construction industry is desirable
