Chelsea Hall School is an Independent Special School for students aged 4-11 with mild to moderate, complex learning needs. We are part of the Cavendish Group, a unique group of educational independent day and boarding schools. We work closely with the other schools in our group and believe in 'thinking differently' and being as creative as possible in our teaching.
We are seeking a highly organised and efficient Office Administrator to cover a period of maternity leave. This is a fixed-term contract, expected to last until the end of July 2026, with the possibility of a handover period with the returning employee.
Working hours: 8:00 - 16:30, Monday to Friday, five days a week, all year round
Salary: 29,000-35,000 depending on experience
Start date: 15th of September 2025
Main Responsibilities:
DDSL
Managing the school's general inbox
Sending school communications to parents
Maintaining all parental communication
Managing the school's MIS system (student enrolment and attendance)
School's census
To act as the first point of contact to answer telephone calls and the door in a friendly and professional manner, taking accurate messages where required
First Aider (training provided)
Administering medication (training provided)
Updating student medical needs in the school management system
Health and Safety admin
Managing student information (permissions, allergies, personal details, emergency contact, etc.)
Support admin and be present during the school's SLT meetings
Responsible for collating information for the Head's Report
Other responsibilities as advised by the Headteacher
Execute tasks assigned by the Headteacher in a timely and competent manner, including but not limited to:
To provide administrative assistance to the Admissions Officers
To use Google applications to produce various documents to a high standard
Managing the calendar for the whole school and informing the school team about upcoming events
Managing lists and databases
Our Ideal Candidate:
Friendly, approachable and confident when dealing with staff, students, parents and visitors
Highly organised with strong attention to detail
Able to manage multiple tasks and work calmly under pressure
A good communicator with a professional and polite telephone and email manner
Comfortable using Google applications (Docs, Sheets, Gmail, etc) and quick to learn new systems
Reliable and flexible - willing to support different areas of the office as needed
Discreet and trustworthy, with a good understanding of confidentiality
Committed to the values and ethos of the school
First aid training is a plus (or willingness to be trained)
Previous school admin experience is helpful but not essential
