Role Overview
We are seeking a proactive, detail-oriented Office Administrator to support production, quality management, HR and customer service functions.
This is a varied role that bridges office administration, production planning, HR tasks and quality system compliance. The ideal candidate will be highly organised, confident using software, and comfortable communicating with both customers and production staff.
Key Responsibilities
Production Support & Planning
Generate and issue accurate work orders for production.
Assist with basic production planning, monitoring job progress, and updating schedules.
Create cutting contours using CAD and nesting software to optimise material usage.
Manage the cut-part stock area, and maintain stock records.
Log re-cuts using the MRP system.
Quality Management System (QMS)
Maintain, update, and control H&S and Quality tickets.
Maintain, update, and control QMS documents to ensure compliance with ISO 9001 and internal requirements.
Create and format Standard Operating Procedures (SOPs), work instructions, and forms as required.
Support preparation for audits, gather evidence, and maintain audit readiness.
Monitor document control to ensure only current versions are available and in use.
Log near miss reports on MRP system.
HR & Absence Tracking
Monitor, log, and report staff absences using the HR system.
Assist HR with absence analysis, basic administration and employee records management.
Customer Service Support
Provide absence cover for the customer service team, including answering phones, handling enquiries, and processing orders as needed.
Liaise with customers and suppliers professionally to maintain a high level of service.
General Administration
Maintain clear and organised digital and physical filing systems.
Support communication between office and production teams.
Contribute to continuous improvement projects and identify process efficiencies.
Key Skills & Attributes
Excellent organisational skills and strong attention to detail.
Professional and clear communication skills (phone, email, in person).
Confident with Microsoft Office (Excel, Word, Outlook) and quick to learn new systems.
Ability to multitask and work calmly under pressure.
Proactive approach to problem-solving and process improvement.
Desirable Experience
Experience in a manufacturing or production environment.
Familiarity with CAD software (training can be provided).
Understanding of QMS / ISO 9001 systems.
