Part Time Office Administrator / Project Assistant



Hydra Design provide innovative technical show design & production to the fashion, music and live events industry. Our creative team is enthusiastically lead by our two directors and the company creates lighting, video and show designs for leading brands and agencies globally, whilst also providing full production delivery, including equipment, technical crew, programming and logistics and more.

We are a small, dynamic team based in our studio offices in London E8, and we are looking for a highly organised and proactive Part Time Office Administrator / Project Assistant to support our busy creative and production departments.

About the Role



This is a key support position that ensures the smooth running of our day-to-day operations and helps deliver our projects efficiently and professionally. Working closely with our Directors and Project Managers, you will be involved in pre-production support, project logistics, administration and client communication.

This is a part-time role, approximately 4-5 hours per day, Monday to Friday, based on-site at our Hackney studio.

What You'll Do



In this varied and hands-on role, you will:

- Support Directors and Project Managers with pre-production and project admin across our

full range of shows, productions and live events.

- Manage diaries, travel arrangements, appointments and day-to-day administrative tasks for the Directors.

- Coordinate logistics for projects, including scheduling crew, organising transport, and maintaining accurate documentation.

- Prepare and track purchase orders and assist with budget reconciliation.

- Act as a point of contact for clients, suppliers and partners, ensuring communication is clear

and professional.

- Maintain organised project files, documentation, and internal records.

- Assist with social media and website content updates.

- Help host visitors, client demonstrations and meetings in our creative studio.

- Manage office supplies, maintain a tidy and welcoming workspace and handle general office

duties.

- Support HR administration and basic accounts tasks as required.

About You



We're looking for someone who:

- Thrives in a small, fast-paced creative environment.

- Is highly organised, methodical and motivated with excellent attention to detail.

- Communicates confidently with clients, suppliers and colleagues at all levels.

- Can multitask, prioritise and take initiative in a constantly evolving workflow.

- Has strong IT skills, particularly with Microsoft Office (Excel essential).

- Is friendly, professional, reliable and enjoys being a key part of a collaborative team.

- Has strong written and spoken English and a professional phone manner.

- Ideally has some experience in business administration, events, production or creative

industries (desirable but not essential).

- A cheerful and positive personality, along with a sense of humour, will help you succeed and enjoy the role.
