We are seeking an experienced and highly organised Office Administrator with a background in the eco/retrofit sector to support the smooth running of our operations. You will be an integral part of a growing team, helping to ensure that project delivery, compliance documentation, and internal coordination align with industry standards including PAS2035 and PAS2030.
This is an ideal opportunity for someone who has previously worked in a TrustMark-registered or MCS-accredited environment, and is familiar with eco-funded or social housing retrofit programmes.

Office Administrator - Retrofit and ECO Projects
Main Purpose of Role:
To provide administrative and operational support across all areas of the retrofit delivery lifecycle, ensuring that documentation, compliance processes, scheduling, and communications are handled effectively and in line with PAS2035/PAS2030 requirements.
Key Responsibilities:
- Administrative Support: Maintain accurate records of retrofit project stages, client data, and assessor/designer/installer communications.
- PAS2035 Workflow Management: Track and log key documentation
- Installer and Subcontractor Coordination: Liaise with PAS2030-certified installers to ensure pre-installation documentation is received, and post-works evidence is filed correctly including Trustmark lodgements.
- Monitor and ensure that all submissions meet TrustMark, PAS2035, and ECO4 audit standards.
- Support with Trustmark and Accreditation bodies to administer and close out audits
- CRM/Data Entry: Maintain up-to-date records within project management tools (e.g. Microsoft Excel, Smartsheets, CRM platforms or bespoke retrofit databases).
- Reporting: Assist with preparing reports for clients, and management on project progress, completions, and outstanding items.
- Office Management: General administrative duties including managing inboxes, organising meetings, ordering office supplies, and supporting wider team logistics.
Essential Requirements:
- Minimum 1 year experience in an administration or coordination role within the retrofit, construction, housing, or environmental sector
- Familiarity with PAS2035/PAS2030 workflow, TrustMark compliance, Warm Homes/SHDF schemes and ECO-funded project documentation
- Strong working knowledge of Microsoft Office (Excel, Word, Outlook) and digital filing systems
- Excellent organisational skills and ability to manage multiple deadlines
- Comfortable liaising with multiple stakeholders including assessors, designers, installers, clients, and funders
- Excellent written and verbal communication skills
Desirable:
- Experience working with ECO4, LAD, SHDF or similar social housing retrofit schemes
- Understanding of retrofit coordinator workflows or experience supporting coordinators
- Knowledge of Building Regulations Parts L & F, or other retrofit-related compliance areas
