Duties



Manage day-to-day office operations, including front desk responsibilities and multi-line phone systems to ensure seamless communication. Coordinate scheduling and calendar management for executives and teams to optimize productivity. Oversee vendor management by negotiating contracts, processing invoices through QuickBooks, and maintaining strong supplier relationships. Plan and organize company events, meetings, and training sessions to promote team engagement and development. Supervise administrative staff, providing guidance on clerical tasks such as filing, record keeping, and document preparation. Handle human resources functions including onboarding new employees, maintaining personnel files, and supporting payroll processes. Maintain office supplies inventory, manage budgets for office expenses, and ensure efficient bookkeeping practices are followed. Support medical office management tasks if applicable, including appointment scheduling and patient record organization. Ensure excellent communication with internal teams and external partners by practicing professional phone etiquette and fostering a positive environment. use sage

Requirements



Proven experience in office management or administrative roles with strong clerical skills. Demonstrated supervisory experience leading teams or managing staff in an office setting. Proficiency in sage for invoicing, expense tracking, and basic bookkeeping. Exceptional organizational skills with the ability to multitask effectively across various responsibilities. Experience in event planning, vendor negotiations, and budget management. Knowledge of human resources procedures including onboarding, payroll support, and employee relations. Familiarity with medical office management is a plus but not required. Excellent communication skills--both verbal and written--and professional phone etiquette.
