Assist the Principles with personal administrative tasks, including scheduling appointments, travel arrangements, and mail handling.
Keep Outlook calendars updated, file emails and manage scheduling requirements.
Act as the first point of contact for visitors, ensuring a professional front-of-house service, including monitoring access through gate control and door entry systems.
Redirect callers and visitors to appropriate contacts and ensure all messages are logged and delivered.
Provide general administrative support to the Office Manager.
Arranging MOT, Vehicle Tax and services for Estate vehicles.
Liaise with and update the wider team on news and developments.
Ad hoc duties as required.
Ugbrooke Park & Events
Carry out all administrative duties as required for the house opening, receptions, and estate events.
Organise and coordinate events, liaising with relevant departments, sub-contractors, and suppliers.
Coordinate and run regular strategy planning meetings with the Principles.
Proactively target revenue opportunities such as tour companies, special interest groups, and film production companies.
Arrange and manage casual staff rotas for events and house openings and log hours for payroll.
Coordinate new guide/kiosk staff training, new starter information, and DBS checks.
Ensure events are advertised and coordinate the social media, PR, and website.
Coordinate tearoom menus, pricing, and update iZettle with ticket prices & food items.
Property & Tenant Services
Communicate with residential tenants regarding servicing and property-related queries.
Receive property maintenance enquiries.
Assist the Office Manager in undertaking viewings for prospective tenants and assisting with tenancy changeover requirements.
Conduct data entry and management within Arthur Property Software.
Assist in organising and coordinating maintenance work for Ugbrooke House.
Estate Compliance & Operations:
Ensure compliance with residential safety regulations, including chimney sweeping, EPC, EICR, and PAT testing.
Record log orders and forward to relevant person.
Log estate maintenance tasks as required.
Knowledge and experience:
3+ years in a similar or related position.
Microsoft Office, Xero, book-keeping, and invoicing.
Experience using property management software (Arthur Property Software preferred but not required).
Strong administrative and organisational skills.
Excellent communication and interpersonal abilities.
Ability to manage multiple tasks and prioritise workload efficiently.
Driving Licence.
Health & Safety and Property Maintenance knowledge an advantage.
