We're looking for a highly organised and proactive Administrative & Operations Assistant to support our growing business 9 Technology Group.
You'll be the go-to person for ensuring our back-office operations run smoothly - from managing CRM data and tracking sales orders to handling client communication, financial admin, and general business coordination
Key Responsibilities
1. CRM & Data Management: Maintain and update contact records, contracts, and client/vendor information in our CRM and internal tools.
2. Finance & Order Support: Assist with sales order tracking, invoicing, reconciling data, and liaising with our billing system (e.g. Xero).
3. Vendor & Client Coordination: Communicate with clients and vendors via email and phone, chasing updates, orders, or documentation.
4. Admin Tasks: Prepare letters, emails, organise files, chase suppliers, renew licenses, and support operational reporting.
5. Reporting: Help prepare reports, or summaries as required for internal decision making.
6. Project Support: Assist the director with ad hoc operational or project-based tasks.
7. Documentation: Keep procedures, client files, and records up to date and properly archived.
Skills & Attributes Required
Strong working knowledge of Microsoft Office applications such as Word and Excel
Experience with CRMs and contact management systems o Comfortable handling invoices, quotes, and purchase orders
Excellent communication skills, both written and verbal
Detail-oriented, organised, and proactive
A tech-savvy mindset - able to learn new systems and platforms quickly
Discretion and professionalism when handling sensitive information
Familiarity with tools like Xero or GoCardless is advantageous
