Mini Gears Stockport Ltd is an award-winning engineering Company that supply a wide range of gears and machined components worldwide to various industries. We are looking for an Office Assistant to join our team.

Job Summary



We are looking for a reliable and organised Office Assistant to support daily administrative and procurement tasks. This role involves managing purchase orders, coordinating with suppliers, processing sales orders, and assisting with general office duties. The ideal candidate will be detail-oriented, a strong communicator, and comfortable working in a fast-paced environment.

Key Responsibilities



Subcontract Purchase Order Management


Accurately place daily subcontract purchase orders, ranging from single items to batches of 30, ensuring timely and cost-effective procurement.

Supplier Coordination & Delivery Management


Book in 10-20 supplier delivery notes per day. Maintain daily communication with suppliers to ensure on-time delivery and resolve any supply chain issues promptly.

Production Support


Keep the production team and management informed of any potential delays or issues that could impact workflow or output.

Sales Order Processing


Raise and process sales orders received via shared mailboxes and directly from the sales team, ensuring accuracy and timely entry into the system.

Workwear Management


Manage inventory and distribution of workwear for shop floor and office staff. Handle reorders and ensure new starters are equipped appropriately.

Team Support & Flexibility


Learn the basics of other team roles to provide effective cover during holidays or absences, contributing to a collaborative and resilient team environment.

Skills & Knowledge



Administrative Expertise


Strong organisational skills with the ability to manage multiple tasks and priorities efficiently.

Communication Skills


Excellent verbal and written communication across all levels--staff, management, suppliers, and customers. Confident and professional telephone manner.

IT Proficiency


Competent in Microsoft Office Suite, particularly:

Excel

: Creating and managing basic spreadsheets, using formulas, and maintaining data accuracy.

Outlook

: Managing shared mailboxes and scheduling.

Word

: Drafting and formatting documents.

Attention to Detail


High level of accuracy in data entry, order processing, and document handling.

Time Management


Ability to work under pressure and meet tight deadlines without compromising quality.

Problem-Solving


Proactive in identifying issues and implementing practical solutions, especially in supplier and delivery coordination.

Team-Oriented


Willingness to support colleagues and adapt to changing priorities to ensure smooth office operations.
