Reporting to the Head of HR this role will be a key heartbeat of the wider organisation and an ambassador of the business both internally and externally. Responsible for providing administrative, operational and facilities support to the management team, the job holder must be personally effective and highly organised to manage a busy and varied workload and able to build strong, lasting working relationships with colleagues at all levels and with a range of external parties.

Main contact for the general facility requirements of the company locations ensuring all services run efficiently and provide good value. Working with service providers/suppliers on requirements including landlord; waste disposal, maintenance, cleaning contracts. Provide Executive support on occasion in compiling senior, high level documentation, minutes at high level meetings Organising meetings, events and conferences as required. Managing scheduling, preparation and logistics requirements for key management & general business meetings. Handling correspondence: Processing mail and arranging logistics of VIP visitors including travel, accommodation and paperwork. Creating and updating management documents and draft reports, presentations, and other documents as needed. New Employee Onboarding - Supporting with generation of Employment Contracts and facilitating onboarding of new employees (Collating referencing & ID requirements, ordering uniform, IT equipment, Vehicles etc as required) Main point of contact for Staff and Third parties answering questions and resolving issues on a broad range of general business affairs. Assisting with project management for of companywide business projects, assisting with project planning, scheduling, and tracking. Maintain the fleet database, ensuring accurate records of all vehicles, maintenance schedules, and compliance documentation. Coordinate routine maintenance and repairs for fleet vehicles, liaising with vendors and service providers to ensure minimal downtime.

What you need to succeed




We are looking for a highly organised individual with previous experience of managing a varied workload of projects and general operations tasks. As part of a lean team, you will need to be comfortable to undertake a wide range of duties to facilitate the smooth running of the offices.

Proactive Problem Solver who is calm under pressure and able to work in a fast paced environment. Quality focussed and commercially aware to manage office running costs/efficiencies and ensure Fleet policy compliance Confidential and discreet as privy to senior management meetings and employee data.
