Job Description

We are looking to hire an Office Manager for our recently acquired company Marches Biogas.
About Us:
Marches Biogas is based in Ludlow Shropshire. We are the UK's leading provider of anaerobic digestion solutions for agriculture and waste management industries with more than 30 years AD experience. We also offer AD consultancy services including DSEAR assessments, site surveys, process and equipment selection reviews, design and implementation of plant upgrades as well as delivering major AD plant upgrades for our clients, including direct work with the water utilities. We also deliver mechanical, biological and operational support for many AD plants within the UK.
Main Purpose of the job:
The office manager will have day to day responsibility to ensure smooth operation of the office in Ludlow, Shropshire. You will be working directly with senior staff and interact with all employees therefore good communication skills are essential. Key responsibilities will include taking calls and reception duties, maintaining office supplies, receiving deliveries, recording minutes, creation of purchase orders, assistance with marketing and social media, together with many other duties which makes this position varied and stimulating. At times the office manager will be asked to assist with timely requests for assistance with tasks such as sourcing materials or services therefore they must have the ability to be accommodating and flexible with their work. The office manager must be organised with good time management.
Key Areas of Responsibility:

  • Answering the phone and liaising with customers and suppliers
  • Monitor levels of PPE held in stock and ensure replacement items are re-ordered in good time
  • Ensure company uniforms and clothing are ordered and provided to staff as required
  • Place purchase orders using Sage accounting system and liaise with the accounts team
  • Organise accommodation and make travel arrangements for engineers
  • Manage the use of company vehicles
  • Monitor company vehicle MOT and tax dates and ensure vehicles are maintained in line with service requirements.
  • Proof read project documentation as required
  • Manage the company websites and write copy under the guidance of the teams
  • Prepare marketing materials and assist with the coordination of marketing and exhibition events
  • Maintain health and safety documentation relating to the office and vehicles and carry out regular checks of fire alarm system and first aid boxes
  • Assist the Health, Safety and Quality Manager where required with the production & maintenance of documentation and management systems
  • Take minutes of weekly project meetings
  • Provide assistance with IT issues, liaising with the external IT support contractor.
  • Manage office cleaners and ensure office is maintained clean and tidy
  • Manage office supplies, stationary and printer supplies
Skills and Experience:
  • Full UK Driving Licence
  • Strong IT skills across MS Office Suite
  • Excellent communication skills
  • General interest in renewable technologies
  • Previous experience in a similar capacity
