OFFICE MANAGER

You will be working within an established company where you will be able to make a significant impact in a crucial part of the business. To be successful in this role, you must have excellent time management skills and the ability to multi-task and prioritise work. We are looking for someone organised, with great attention to detail and problem-solving skills. As an office manager you will require excellent written and verbal communication skills and the ability to build good relationships with the site team and other contractors. You will be expected to take ownership of the tasks and projects set out by your line manager.

Role and responsibilities



The office manager role revolves around various admin tasks and document control. The two systems used to support the admin role are Chime, our timekeeping & workforce management system, and PpAC/Compliant 101 , an identity and right to work checking service. Training will be provided for both systems. The main admin tasks consist of booking and organising all site inductions, liaising with all inductees and subcontractors regarding induction procedures and outstanding documentation, Chime registrations, PpAC ID Scan & Compliant 101 checks, as well as weekly timesheets & expenses. The document controller role will require uploading documents onto the system following the protocol, creating cover sheets, downloading drawings and documents, tracking latest revisions and approvals, dealing with rejected documents and comments etc. It will also require distributing all information to the relevant parties, tracking documents issued for Morrisroe's action and notifying the team to take appropriate action on the pending documents. These tasks will be done using software such as Aconex, Asite, 4Projects.

Other tasks & responsibilities:

Maintaining the Morrisroe structure and filling systems across the project and ensuring the general instructions are followed by all

Collating, filing, and scanning all personnel documentation following GDPR

Maintaining and tracking site personnel movements for weekly timesheets and reports

Responsible for logistics - booking and managing deliveries (various systems)

Providing administrative support to the project team - general queries, creating various reports etc

Assisting the PM with the development of the monthly progress report (CVR)

Collecting & collating information and documentation for the H&S department - managing training records; distributing RAMS to site operatives & Morrisroe supervisors etc

Assisting the Plant/Buying department & storeman with plant, materials, monthly reports etc

Providing monthly environmental reports to PC

Issuing weekly reports to PC - H&S site team inspection reports, Toolbox Talks, Briefing Sheets etc

Assisting the team with O&M manuals and handover documentation

General administration office duties - scanning, photocopying, printing and collating documents as well as filing (hard copies and electronic copies); undertaking office management duties such as maintaining the good running of the internet & printer and monitoring office supplies (stationery etc)

Qualifications & job requirements



Level 3 Diploma in Business Administration/ Level 2 NVQ in business admin - desirable but not mandatory

Strong Administration skills with minimum 2 years' experience in the construction sector

Knowledge in document control using software such as Aconex, Asite, 4Projects, Field View, Conject BIW

PC literate with competency in Microsoft Word, Excel, Outlook

Knowledge of office management responsibilities, systems and procedures

Strong organizational and planning skills

Ability to liaise and manage all site paperwork

Attention to detail

Ability to multitask and work under pressure

Excellent communication skills
