We are seeking a highly organised and proactive Office Manager/Practice Manager to oversee the daily operations of our Cardiff office in UK. The ideal candidate will possess strong administrative skills and have a keen eye for detail. This role is essential in ensuring that the office runs smoothly and efficiently, providing support to both staff and work management. You will be responsible for supervising office activities, managing the team.
As practice manager, you will be dealing with the daily operations, such as managing workflow as well as doing technical work, managing all client queries, and ensure the on time service deliverability at all times.
Responsibilities
Oversee daily office operations and ensure a productive work environment.
Manage clerical tasks including filing, data entry, and correspondence.
Utilise for financial record-keeping and reporting.
Ensure on time service delivery to clients to meet servicer standards
Assist in human resources functions
Supervise administrative staff, providing guidance and support as needed.
Ensure excellent phone etiquette when communicating with clients and stakeholders.
Coordinate team meetings and manage schedules to optimise productivity.
Manage a portfolio of clients, acting as their main point of contact
Prepare and review statutory accounts and tax returns for limited companies, sole traders, and partnerships
Provide proactive advice on tax planning, business structure, and compliance
Conduct client meetings and build long-term, trusted relationships
Work closely with the partners to identify opportunities for new services or growth within your portfolio
Ensure all deadlines are met and compliance requirements are fulfilled
Qualifications
Proven experience in an administrative or office management role.
Excellent Team management skills
Strong organisational skills with the ability to manage multiple tasks simultaneously.
Excellent communication skills, both verbal and written, with a focus on team management.
Strong negotiation skills
ACA / ACCA qualified (or equivalent)
Previous Experience within a UK accountancy practice would be an advantage
Excellent communication and interpersonal skills
Confident in managing client relationships and discussing financial matters clearly
Experience with cloud-based software (e.g. Xero, QuickBooks)
