About The Role
We are seeking a proactive and highly organised
Office & Accounts Manager
to join our passionate, mission-driven team committed to making music accessible for children and young people across West Sussex. The postholder will oversee our daily administration, customer service, and finance operations. This pivotal role involves managing a team of administrators, coordinating general office duties and scheduling work activities aligned with our customer management system whilst delivering a great customer experience. The postholder will work closely with the Head of Finance to manage month end finance processes.
The ideal candidate will have strong management and interpersonal skills, financial acumen, and excellent office administration experience.

Central Horsham (Office-based, 5 days a week)
Salary:
37,000-40,000 per annum (dependent on experience)

Key Responsibilities
Office & Team Management
Oversee and support a team of administrators, managing office cover and general office duties to maintain an effective and efficient office environment.
Manage administrative workflows and operational schedules using our core system, SpeedAdmin.
Maintain effective communication across departments and liaise with managers, teachers, parents/carers and schools on a daily basis.
Manage customer accounts and deal with higher level customer care scenarios.
Implement and refine office procedures to improve workflow and productivity.
Finance Management
Manage the accounts payable and customer accounts processes in line with West Sussex Music financial policies and procedures with accuracy and timeliness.
Work closely with the Head of Finance to finalise month end reporting, deliver financial reports, and assist with Year End audits and compliance requirements.
Liaise with CEO and Head of Finance, and with our external contacts such as banks, suppliers, and payment providers.
Systems & Reporting
Act as the lead stakeholder for SpeedAdmin, ensuring accurate data, scheduling, and reporting.
Generate operational and performance reports to support strategic decision-making.
Identify trends, gaps, and opportunities for process improvement across administrative functions.
Skills, Knowledge & Experience
Essential
Proven experience in accounting, administration and office management roles within a customer driven environment.
Experience in accounting software packages preferably Xero or similar, and customer management systems (experience with SpeedAdmin a plus).
Good experience with finance and bookkeeping, including bank reconciliations, invoice processing, credit control and finalising month end including journals such as accruals.
Strong MS Excel skills are essential.
Excellent planning, time management, and organisational skills.
High attention to detail and a proactive, problem-solving mindset.
Strong written and verbal communication skills with a focus on customer service.
Emotionally intelligent approach to interpersonal relationships with colleagues and customers.
Desirable
Recognised Accounting Qualification, AAT Level 4.
Experience in education, music/arts or charitable organisations.
Familiarity with SpeedAdmin or similar customer management systems.
