We're looking for someone

super detail-oriented

to join our team as an Operations Coordinator. It's a varied admin role, supporting our Operations Manager with the behind-the-scenes work that ensures all our clients experience incredibly special holidays and truly exceptional customer service.

The day-to-day involves things like checking travel documents, updating systems, helping with invoices, keeping records tidy, and making sure the details are right. You'll also pitch in on general office support, from managing supplies to helping update the website or assisting with basic financial admin.

This is a good fit for someone who has brilliant customer service skills, likes clear tasks, takes pride in accuracy, and doesn't mind a bit of repetition. We're looking for someone steady, focused, unflappable under pressure and

We're a small, growing team, so you'll need to be flexible, helpful, and comfortable switching between tasks as needed. If you're calm, organised, and enjoy making sure things are done properly, we'd love to hear from you.

KEY RESPONSIBILITIES:



Support the Operations Manager with the post-booking process, including organisation of client files, logistics, and documentation. Verify the accuracy of supplier confirmations and travel arrangements. Proofread and prepare final travel documents and itineraries, ensuring all client-facing materials are complete and error-free. Liaise with suppliers to confirm or amend itinerary details. Monitor internal checklists and timelines, send reminders, and ensure timely task completion. Upload and manage travel documents and content within client portals on the itinerary platform.

Other responsibilities may include, but are not limited to:



Accounting & Finance

- Assist with bookkeeping (QuickBooks, Excel), invoicing, payments, and financial reporting. Handle supplier/client payment queries and support FX transactions.

Administrative Support

- Maintain records, assist with HR/onboarding, manage supplies/inventory, and provide general administrative support.

CRM & Data Management

- Update CRM with accurate data, generate reports, and ensure GDPR compliance.

Content & Communications

- Maintain website/client materials and proofread content for clarity and brand consistency.

Project Support & Research

- Conduct market research and assist with project-related admin tasks.

PERSON SPECIFICATION:



Skills, Experience & Attributes



Meticulous attention to detail - nothing escapes your notice. Excellent organisational and time-management skills; able to understand and handle complex itineraries and bookings. Calm, composed, and solutions-focused under pressure. Skilled in client communication and problem resolution, with a commitment to delivering exceptional service. Proficient in Microsoft Office, particularly Outlook, Word, and Excel. Comfortable with tech platforms and quick to learn new systems. Sound numerical skills and a basic understanding of accounting principles. Able to work both independently and collaboratively as part of a team. Flexible and responsive; willing to support colleagues wherever needed and able to adapt to changing or conflicting priorities during busy periods. An interest in travel or sustainability is desirable.
