Operations / Logistics Coordinator

Works Closely With:

Operations and Logistics, Project Managers, Site Operatives, Finance, SHEQ & HR

Summary:



We are seeking a highly organised and adaptable Operations Administrator to support both the business and field operations of Roadgrip. This hybrid role combines responsibilities from the Assistant Operations Manager and Logistics Lead positions, providing vital support across logistics, scheduling, communication, documentation, and site coordination. This new role within the business will play a key role within the day-to-day running of the operations department.

The successful candidate will work closely with both office and site-based teams to ensure that projects run smoothly, on time, and to the highest standard.

Key Responsibilities:



- Assist with planning and scheduling of domestic and international projects

- Coordinate transport and logistics of equipment and materials (working with providers such as Freight forwarder and Logistics providers)

- Maintain detailed records including travel bookings, delivery schedules, vehicle allocations, and accommodation

- Support procurement and order processing for equipment, tools, and consumables

- Maintain internal trackers, spreadsheets, and documentation systems

- Prepare project files, job packs, and compliance records ahead of site mobilisations

- Liaise with customers daily

- Assist with time sheet collection and processing information for payroll

- Prepare RAMS (Risk Assessments and Method Statements), job packs and other related documentation relating to projects.

- Co-ordinate with on-site teams to ensure smooth day-to-day operations

- Monitor team allocations, vehicle usage, and kit readiness

- Support tracking of equipment and assets across sites and depots

- Respond to real-time requests or site changes from operatives or management

- Ensure project documents (RAMS, inductions) are prepared and distributed correctly

- Act as a communication bridge between the field and office teams

Key Skills and Attributes:



- Strong organisational and time-management skills

- Comfortable working under pressure and juggling priorities

- Excellent communicator (written and verbal)

- Proficient in Microsoft Office (Excel, Outlook, Word)

- Able to interpret logistics, schedules, and plans

- Collaborative team player, but also self-motivated and independent

- Understanding of construction or airfield projects is desirable

- Experience coordinating with field operatives and third-party suppliers a plus
