We are seeking an experienced and highly motivated
Operations Manager
to support our Centre Manager in the day to day operation of a busy shopping centre in Mansfield. Notts.
This is a key role that requires strong organisational skills, excellent problem-solving abilities, and the ability to work well under pressure and as part of small motivated and pro-active management team.

Job Purpose:
To be responsible for the day to day running of the site and to preserve the value of the asset.
Job responsibilities:
Asset Value
To maintain an awareness of and report to the Centre Manager all operational issues that may impact on the value of the property.
Supply Partner (SP) Management
To assist the Centre Manager in the tendering and placing of contracts relating to the site and to ensure that all Reith Lambert contract procurement requirements are complied with
To monitor and report on the performance of all SP contracts
To co-ordinate and lead the monthly KPI meetings with SP's
To oversee the SP on-site teams and be the first point of contact for the SP Contract Management team and on-site Lead
To liaise with the SP's on monthly reconciliations and verify SP invoices
Property Maintenance
To ensure that a Planned Preventative Maintenance (PPM) programme is in place and undertaken for all landlords' areas of responsibility and to ensure that tenants meet their leasehold obligations in respect of repair and maintenance.
To oversee the reactive maintenance program
To ensure that all void units are inspected and maintained in line with the Client's instructions and the Knight Frank Promise Void Management Plan
To compile and maintain all plans and drawings for the centre.
To ensure that all plant and equipment (including fire equipment) are tested and maintained in accordance with the manufacturer's specifications and current legislation; to keep all records of testing and all relevant certificates - to include Void units
Regular inspections of all parts of the building, including common areas, tenants' demise and Void units.
To verify and authorise invoices for goods and services relating to the site.
To liaise with suppliers on obtaining quotations for required works and collating and present to the CM with recommendations for instruction
To be the on-site contact for contractors at site
Oversee the utility supply management to include change of tenancies, submission of monthly reads, and invoice validation and discrepancies.
To liaise with the Client's nominated contractors on all Landlord works projects
Tenant Liaison
To create and maintain good relationships with the tenants.
To lead the review process of all tenant's application for works/shop-fits, offering comments/recommendations to the CM and Surveying team
Health and Safety/ Risk Management
To organise and co-ordinate site work with the minimum risk to health and safety and to comply with legislation, codes of practice and Reith Lambert policies and procedures to include to provision of any necessary risk assessment and method statements.
Be conversant with the requirements of the Health and Safety at Work Act 1974 and associated legislation.
To oversee all health and safety matters in the building as required, utilising Riskwise and other record/management systems, ensuring full compliance.
To oversee all environmental matters relating to the site.
To ensure that maintenance and building work on site is limited to trained, authorised employees and Reith Lambert/Client approved and competent contractors.
To ensure that all registers and records are kept up to date.
To ensure that all relevant works are controlled by an effective permit to work system and where appropriate, ensure that Construction and Design and Management Regulations are applied.
To ensure assessments of risk are carried out on new equipment, plant, system and COSHH are undertaken and all work procedures arising from them are complied with.
In the event of an accident or dangerous occurrence ensure that temporary measures are taken to make the area safe, then ascertain the circumstances of the incident and report/liaise with the Director and Enforcing Authority where appropriate.
Ensure recording of all accidents, incidents and dangerous occurrences and complete reports in accordance with provisions of RIDDOR 95, to investigate any such incidents and implement any identified improvements.
To liaise with the Client's and Managing Agent's insurers in relation to reporting incidents and impairments
To keep the site's Operation manual/procedures file is up to date, reviewing it regularly, and ensuring its communication to our on-site staff and tenants where necessary.
To keep the site's Emergency/Disaster and Business Continuation Plans up to date and relevant, reviewing it regularly, and ensuring its communication to our on-site staff and tenants where necessary and co-ordination regular training for the on-site team
To ensure compliance with fire regulations.
To organise and document routine fire and emergency evacuations, ensuring they are communicated to tenants and contractors.
To liaise with the Health and Safety Executive, Health and Safety Enforcement Officers and the Fire Officer in order to develop good working relationships.
To ensure Health and Safety checklists are completed at the specified frequency and action is taken to correct any failings.
To co-operate with the visits made by consultants and auditors appointed by the Client and Reith Lambert.
To advice and assist the Centre Manager in the safe and successful planning and delivery of events within the centre to include the provision of specific risk assessments.
Reporting
To assist the CM with Client reporting by providing relevant information and data
To ensure that all environmental data is collated effectively
Ensure Riskwise and Elogbooks are kept update, with weekly updates on outstanding Actions.
Other
To act as duty manager as and when required, deputising for the centre manager in their absence and on duty weekends (Following training)
To carry out any reasonable tasks as instructed by the centre manager/surveying team for the benefit of the business.
To pro-actively offer suggestions/ideas for the more efficient performance of the centre's business.
Qualifications
(Education and/or Experience): The requirements listed below are representative of the knowledge, skill or ability required.
GCSE/ O-Level standard in English and Mathematics.
Previous relevant experience in a similar role.
Computer Literacy: Ability to use Microsoft Office, specifically word, excel, Teams and Outlook.
Must be well organised with great attention to detail and possess the ability to prioritise a busy workload and undertake a number of tasks simultaneously.
Must be a team player but have the ability to work on initiative.
IOSH Managing Safely and NEBOSH General Certificate are desirable and will be encouraged.
