Job Summary


We are seeking a proactive and highly organised Personal Assistant / Office Administrator to support the Director and wider team. This is a central role, ideal for someone with strong administrative experience and an interest in the property and construction industry. You will ensure the seamless running of our office and support operational, financial, and HR processes across the business.

Key Responsibilities



Financial Administration



Maintain accurate financial records using QuickBooks; reconcile payments and receipts. Process CIS submissions in line with construction industry legislation. Prepare and submit VAT returns ensuring HMRC compliance. Manage monthly payroll and pension administration, including enrolments. Produce weekly accounts payable reports for review. Manage both sales and purchase ledgers.

HR & Recruitment Administration



Draft and maintain employment contracts, job descriptions, and company policies. Coordinate recruitment advertising, interviews, and onboarding. Manage sensitive employee information with discretion and confidentiality. Administer timesheets, holiday requests, and staff records.

Operations & Project Support



Assist with business development activities, including monitoring planning applications and contacting potential clients via post to introduce the company's services. Monitor stock levels for key materials. Oversee vehicle maintenance and support logistics using van tracking software. Assist with project scheduling, documentation, and contractor coordination. Provide occasional hands-on support with site deliveries and driving tasks, as required to support project and office operations. Maintain accurate and compliant HSE project files.

General Office Administration



Provide PA support to the Director, including diary management and correspondence. Maintain organised office systems, digital records, and stationery supplies. Handle enquiries from clients, suppliers, and conservation bodies. Ensure administrative systems support compliance with heritage and listed building regulations. Undertake any other tasks or responsibilities commensurate with the role as required by the Director or the needs of the business.

Skills & Experience Required



Proven experience in administration, office management, or as a Personal Assistant. Proficiency with QuickBooks and Microsoft Office (Word, Excel, Outlook). Understanding of CIS, VAT, payroll, and workplace pensions. Strong organisational and multitasking abilities. Excellent written and verbal communication skills. High standards of accuracy, confidentiality, and professionalism. Ability to manage varied responsibilities in a fast-paced environment.

Desirable



Experience in the construction, heritage, or restoration sectors. Familiarity with listed building consent, planning permissions, or conservation regulations. A personal passion for historic buildings and traditional craftsmanship.
