Baker Brothers is an established family run business specialising in diamonds and Swiss watches working with Internationally renowned brands, such as Rolex, Tag Heuer and Gucci. Currently we are recruiting for the of role of directors PA on a part time permanent basis.
Summary
We are seeking a Director Personal Assistant to join our dynamic team at BAKER BROS JEWELLERS LTD. This role is essential in providing high-level administrative support to ensure the smooth operation of our business. You will play a key role in enhancing our customer experience and supporting our growth and initiatives.
Reporting to the Directors the role will include
Arrange internal/external meetings as required
Diary management
Set agendas, minute take and follow up on action logs
Assist in planning of customer events, liaising with suppliers and customers.
Assist in recruitment - job adverts, interviews, and communications.
Assist in preparation of contracts, new starters and Welcome Packs
Write up company procedures/initiatives and role out.
Work with other departments and offer assistance as requested.
Assist with travel bookings.
Mailbox management -respond to emails on their behalf where possible
Maintain credit card expense spreadsheet/receipts and submit monthly to Finance
Document management and filing
Proof reading documents
Oversee and assist with task management of the Directors and other staff members
Manage projects and follow-up with team members where required
Co-ordinate all maintenance requirements. Setting reminders for when preventative maintenance is due, and dealing with reactive maintenance as necessary
Build good relationships with all supplier and customer contacts
Work with IT company to ensure all staff have the correct equipment to carry out their job.
Be hands on with regards to matters relating to other departments and help deal with issues as requested
Ad hoc duties additional to the above job description as required to fulfil the job role
Requirements
Proven administrative experience with strong organisational skills
Proficiency in Microsoft Office
Excellent data entry and clerical skills
Calm, friendly and tenacious character with a can-do attitude.
Strong verbal and written communication skills with excellent attention to detail
Smart, professional appearance.
Candidates must demonstrate fluent level of English proficiency,
Excellent phone etiquette and communication skills.
Ability to manage multiple tasks effectively in a fast-paced environment.
