Role Purpose
The PA to Directors & Office Manager role is to support the senior leadership team and managing the day-to-day operations of the Somerset head office. This dual-function role is focused on communication, administrative coordination, and key follow-ups, while also ensuring the wider team operates in a structured, efficient, and service-led environment. A key part of the role is to promote a culture of clear communication, professionalism, and a "customer-first" mindset across the business. The PA & Office Manager ensures internal and external communication is timely and accurate, allocates workloads effectively across departments, and monitors progress to ensure deadlines are met and standards maintained.
This role requires a proactive, highly organised individual with excellent interpersonal skills, strong attention to detail, and the ability to manage multiple priorities with discretion and efficiency. As a trusted support to the directors and central coordinator across teams, this person will help create a positive, productive office environment that supports Formation Lighting's creative, commercial, and operational goals.
Key Responsibilities
Act as the central point of contact for the directors, supporting communication on their behalf both internally and externally.
Provide high-level executive support when ever needed.
Oversee and manage the central sales inbox, ensuring all incoming enquiries, quote requests, orders, and technical queries are acknowledged promptly and allocated to the appropriate team members.
Monitor progress and follow up on all allocated enquiries to ensure timely responses, clear communication, and a consistently professional, customer-first experience.
Coordinate day-to-day office operations in the Somerset HQ, maintaining a productive, organized, and welcoming working environment for all staff and visitors.
Allocate and track workloads across internal teams, working closely with sales, project management, design, and logistics to support effective delivery and deadline adherence.
Promote a culture of clear communication and shared accountability, ensuring all departments are aligned with company priorities and operational tempo.
Assist with HR and people-related tasks such as onboarding, staff communication, absence tracking, and coordination of training or reviews as required.
Maintain and improve administrative processes and systems to support efficiency, transparency, and responsiveness across the business.
Serve as a visible, approachable, and reliable presence in the office, fostering a calm, solution-focused atmosphere and ensuring day-to-day challenges are resolved swiftly.
Skills & Experience
Exceptional organizational and multitasking skills, with the ability to prioritize and manage competing demands while maintaining attention to detail.
Proven experience in a senior administrative or PA role, ideally supporting directors or leadership in a fast-paced, design-led or project-based business.
Strong communication and interpersonal abilities, with confidence liaising across all levels of the business.
Proactive mindset with a customer-first attitude, capable of driving a positive office culture, and maintaining high standards of professionalism.
