Join Close Brothers Motor Finance Team where you will will provide a proactive and comprehensive PA service to select members of Motor's Executive Committee.

RESPONSIBILITIES



Act as the first point of contact for the directors, ensuring urgent requests are promptly handled. Provide effective diary and inbox management, ensuring the directors are informed of upcoming commitments and that relevant papers are provided in sufficient time for preparation. Arrange meetings, conference calls, lunches, dinners, events, travel, and accommodation as required. Book meeting rooms/venues as required. Prepare meeting agendas and supporting documents, record meeting minutes and follow up on actions. Ensure the efficient and smooth running of all aspects of the director's office, ensuring all tasks are completed in a timely fashion. Keep track of documents relating to multiple projects, ensuring they are readily available when required. Process expenses, mileage claims, and other ad-hoc administrative tasks in a timely manner. Maintain clear, systematic, and user-friendly filing systems. Compose and prepare draft written correspondence for review by the directors (e.g. responses to letters/emails). Type, compile, and prepare reports, presentations, correspondence, and other documents as required by the directors. Provide absence and annual leave cover for other members of the PA/EA team. Maintain effective working relationships across all levels of the organisation to ensure quality delivery. Maintain high levels of discretion and confidentiality.

WE WOULD LOVE TO HEAR FROM YOU IF YOU HAVE/ARE:



Experience working as a PA/EA providing proactive and professional support in a fast-paced and ever-changing environment to senior leaders. Advanced MS Office skills. Competent with MS Outlook. Excellent written communication skills including proof-reading skills. Attention to detail. Good commercial awareness. Proactive, efficient, and capable of problem-solving. Confidential and discreet; experience in handling sensitive issues.
