Job Description

We are looking for a Personal Assistant to support the Executive team and Executive Strategic Business Manager (ESBM), providing high-level administrative support, with an understanding of confidentiality and a flexible and adaptable approach to work. You will be working as part of a wider admin team, enhancing the smooth running of the PCN.
The successful candidate will be self-motivated, reliable, and approachable and possess exceptional organisational skills; be used to working with senior colleagues in a busy environment, with the ability to demonstrate how they lead by example and take responsibility for delivering a consistently high-level, quality, and robust administrative service.
Experience as a Personal Assistant, working in a busy setting is preferred, with the ability to prioritise workload, multitask and work under pressure to meet tight deadlines also being a necessity. Experience of arranging and attending formal meetings, including the preparation and distribution of agendas, collation of papers, chasing of actions and transcribing of minutes is essential, along with a focussed and professional attitude towards your work.
This is a role that ensures the ESBM and Executive teams daily operations run seamlessly, enabling them to have the capacity to concentrate on strategic growth and innovation.
Main duties of the job

  • Manage a comprehensive electronic diary system for the Executive team, including coordinating calendars, arranging meetings, and scheduling appointments using sound judgment to prioritise effectively
  • Organise meetings, including preparing and distributing relevant paperwork, booking rooms, and taking minutes when required, ensuring deadlines for circulation are met in liaison with the ESBM
  • Produce and maintain action logs following meetings, actively monitoring progress and following up to ensure completion of assigned tasks
  • Act as a key liaison for internal and external stakeholders, representing the organisation professionally and ensuring urgent matters are handled appropriately
  • Provide high-level administrative and secretarial support to the Executive team and Partners as required, including assistance with projects and ad hoc tasks
  • Welcome and assist visitors in a warm, professional manner
  • Support the planning and coordination of events
