Role Overview



We are seeking a highly organised Personal Assistant to the Directors, who will play a vital role in supporting the day-to-day operations of this multifaceted business. The ideal candidate will be proactive, flexible, and able to manage a varied workload with professionalism and efficiency. In addition to traditional PA duties, the role includes responsibility for HR administration and ensuring the Directors' office is kept clean and well-organised.

Key Responsibilities



Executive Support



Provide high-level administrative and organisational support to the Director and Deputy Director Manage diaries, inboxes, schedule meetings and appointments Prepare documents, reports, agendas, and presentations as required Maintain physical and digital filing systems Coordinate internal and external communications on behalf of the Directors Prepare and distribute minutes at meetings, ensuring actions are followed up

HR Duties



Manage recruitment processes including job postings, interview scheduling, and onboarding Maintain confidential HR records, contracts, and policies Track staff absences, holidays, and ensure compliance with legal requirements Support employee relations and act as a first point of contact for HR-related queries Coordinate staff training and appraisals Management of employee clock systems, collating information in accordance with monthly payroll

Office & Facilities Support



Ensure the Directors' office is consistently clean, tidy, and professionally presented Prepare teas and coffees for directors, and guests as required Answer and direct phone calls, emails and other correspondence Liaise with housekeeping, maintenance, or external contractors as needed Maintain office supplies and manage filing systems (digital and paper-based) Control and knowledge of internal systems, e.g. EPOS software, Resdiary Prior knowledge of Sage would be an advantage

General



Liaise across departments including hospitality, accommodation, and events Handle sensitive information and documents with complete confidentiality Perform other clerical duties such as filing, photocopying, scanning and mailing Be an ambassador for the Hall, demonstrating its values and high standards

Person Specification



Essential:



Proven experience in a PA or administrative role, ideally supporting senior management Strong organisational and time management skills with excellent attention to detail Confident communicator with strong interpersonal and written skills Proficiency in Microsoft Office (Word, Outlook, Excel) Able to handle confidential information with discretion Flexibility and willingness to assist across different areas of a busy site

Desirable:



Previous experience in HR support or administration Familiarity with hospitality, heritage, or event-based environments Basic understanding of employment law or HR software systems

Working Conditions



This is an on-site position based at Samlesbury Hall. Core working hours are Monday to Friday, 9:30am to 3:00pm, designed to suit a parent-friendly schedule, with half an hour's unpaid lunch break. Occasional flexibility is required to support events or meetings that fall outside these hours, including some evenings or weekends, with advance notice. The role involves working in a busy, multi-functional environment with interaction across all areas of the business. Due to the nature of the site, some walking between departments or buildings may be required.
