Overview
We are seeking a highly organised and professional Office Administrator who will be responsible for managing daily administrative tasks, supporting facilities operations, and ensuring smooth communication across departments.
This role proactively supports company leadership, client, and operations teams by facilitating clear and timely communication and processing of information. Regular client interaction requires professionalism and a welcoming attitude.
The ideal candidate is highly organised, diligent, and comfortable working within established systems. Experience in architectural, construction, or professional services environments would be beneficial for the requirements of this role.
This is a part time role, ideally working Monday - Friday 09:00 - 14:30 (25 hours per week)
Key Responsibilities
Facilities & Operations
Manage facilities operations, including booking all regular facilities checks and maintenance
Ensure a clean and organised office space
Communicate and liaise with internal teams, visitors and vendors
Book meetings, manage calendars, and co-ordinate travel
Supply and inventory management of office supplies, and assistance with procurement of other general workshop supplies
Administer Health & Safety documentation and training schedules
Support HR processes, onboarding, and reporting
Financial assistance with basic bookkeeping tasks as required, including petty cash and pre-pay cards
Front-of-House & Reception
Act as the first point of contact for visitors and clients
Manage all incoming calls, emails, and correspondence and direct these as appropriate
Project Support
Maintain project records, databases, and digital filing systems
Manage company image library
Assist with document preparation and client presentations
Any other project administration as required

Skilled at supplier management and cost optimisation

Qualifications & Experience
At least 3-years' previous experience in administration, reception and office co-ordination
Proficiency in Microsoft Office Suite is essential, including Outlook, Teams, Excel, Word, PowerPoint and SharePoint
Experience with Project Management platforms (such as Procore, Monday.com, Asana, MS Projects) and accounting software (QuickBooks) is an advantage
Familiarity with project-based services is an advantage
