Continued strong growth at Utelize has created a part-time opportunity for an experienced Office Administrator to become a valuable addition to our dynamic team.

Responsibilities include general HR administration, maintaining and filing customer and supplier contracts, updating spreadsheets, running reports, processing invoices within the accounts system, arranging travel and accommodation, ordering office supplies, and acting as the go-to person to support the smooth and efficient running of the office, while providing administrative support to the Senior Leadership Team.

About the Role


Reporting to the Head of Commercial you will be working to support to the business with a range of administrative tasks. Activities include:

Office Administration :

Answering phone Filing documents and updating data sources Ordering office consumables Hotel and transport bookings
HR Administration:

Processing staff expense claims Creating HR documents from templates Undertaking operational checks e.g annual surveys Co-ordinating staff training Organising staff events
Finance Administration

New supplier and new customer admin Supplier database updates Liaising with suppliers to ensure all bills received
Providing other administration support to members of the Senior Leadership Team as required

What we are looking for:



Essential Experience & Education:

Can do attitude GCSE English & Maths C or above (or equivalent) 3+ years' experience office administration Excellent organisational and communication skills Proven attention to detail and experience of keeping accurate records Experience of similar administration Proven experience of using Microsoft Word, Excel, Outlook, Teams
Desirable Experience:

Experience of using Breathe HR, QuickBooks & Xero (or similar accounting package) Good excel skills

What we Offer:



Part time role (25 hours over 5 days) Full time salary would be 25,000 - 27,000 (pro-rated for part time) - actual rate will depend on hours and experience. 25 Days Paid Holiday per Annum plus Bank Holidays (pro-rated for part time hours).
