Job Description


The Dean Close Foundation is seeking a highly organised and detail-oriented Payroll Manager to administer and control the payroll and pension functions for approximately 725 employees. The Payroll Manager will be responsible for ensuring accurate and timely payment to employees, as well as compliance with pension enrollment requirements. This role requires expertise in payroll processing, pension administration, and knowledge of payroll and pensions legislation.

Payroll Duties:

  • Methodically and accurately process monthly salary payments for all employees.
  • Input new starter details, including P45 information, student loan, and National Insurance details.
  • Assess, auto-enroll, and set up new members in the pension schemes, including the Teachers\' Pension Scheme.
  • Check and process monthly timesheets.
  • Implement a new cloud-based system for timesheets and payslips.
  • Calculate pro-rata payments for mid-month starters and leavers.
  • Calculate and process back payments as required.
  • Calculate and make payments or deductions for holiday pay.
  • Record, calculate, and make statutory payments or salary deductions for sick pay, SSP, SMP, etc.
  • Produce, analyze, and balance all payroll reports for review by the Finance Controller.
  • Produce a BACS listing and collaborate with the Bursar for final payroll checks before submission of the BACS file.
  • Generate and distribute P45s when necessary.
  • Submit FPS and EPS to HMRC on a monthly basis.
  • Send payslips via the School email account to all employees.
  • Create an accounts file for export into the accounting system and post payroll journals.
  • Ensure timely payment of all payroll deductions.
  • Reconcile payroll accounts on a monthly basis.
  • Complete year-end processes for HMRC and prepare payroll for the new tax year.
  • Produce and distribute P60s.
  • Prepare, complete, and submit P11Ds.
  • Implement upgrades to payroll software as required.
  • Stay up to date with Payroll and Pensions legislation.
  • Produce and balance monthly cost center reports using financial reporting software.

Dean Close School is a co-educational day and boarding school which provides continuity of education from age 2 to 18. The School was established in 1886, and is set in 50 acres of parkland in the centre of Cheltenham. In 2015 the Dean Close Foundation was formed, when the School acquired St John\xe2\x80\x99s on-the-Hill Preparatory School and three nurseries in the Chepstow area. In 2017 the Foundation purchased a further two nurseries, Tree Tops in Cheltenham and Gloucester, taking its total to five.

Dean Close is renowned for focusing on individual development.
