FKM is seeking an experienced Payroll Manager to lead our busy bureau team and deliver an outstanding service to our diverse client base. This is a pivotal, hands-on managerial and change role where you'll not only ensure payrolls are processed accurately and compliantly, but also set the tone for the team - driving performance, professionalism, and continuous improvement.

JOB DESCRIPTION



To provide FKM's diverse range of clients with an efficient, compliant and reliable payroll service, and to work with clients to ensure our service meets their needs. The role has 5 key areas:

1. Delivery of the payroll service required by the clients

2. Managing the payroll team

3. Client relationship management

4. Effective controls and risk management

5. Service improvement

Service Delivery



Ensure the proper processing of all clients' payrolls at the required intervals. Ensure there are robust processes in place to capture and quickly resolve any errors. Ensure accurate RTI submissions and any other reporting required by law or FKM/the client, and the timely processing of payments due to HMRC, pension providers etc. Ensure there are SOPs in place for all workflows, standardised where possible, and they are properly documented. You will be the SME for UK payroll related legislation (PAYE, NI, SSP, SMP etc) and will manage the smooth implementation of any changes required. You will be required to personally process some of our key client payrolls.

Managing the Payroll Team



Manage the allocation of duties and responsibilities including holiday and absence cover. Ensure the team understand their responsibilities and are adequately trained to perform them. Set clear expectations for professional conduct, addressing any issues to maintain a respectful and high performing work environment. Monitor performance and help team members improve where required. Organise the recruitment and orientation of new staff.

Client Relationship Management



Be the main point of contact with clients on escalated payroll matters including complaint resolution and service improvements. Assist the Partners with the drafting of contractual terms relating to provision of payroll service for clients. Ensure professional client on-boarding and off-boarding processes.

Effective Control and Risk Management



Ensure payroll processing is compliant with all internal controls and any failures are quickly rectified. Ensure the service complies with all regulatory requirements including HMRC requirements and data protection. Ensure the payroll processing workflows and systems keep client data secure and up to date. Ensure the service is 'audit ready' at all times. Ensure the service has an effective disaster recovery, business continuity and data breach plan. Ensure robust controls are in place to prevent payroll fraud.

Service Improvement



Ensure you and your team review the service for opportunities to improve performance, service quality, efficiency or reduction of costs or complexity. Lead effective change management and staff engagement throughout improvement/change implementation.

Person Specification



Significant experience managing a payroll function, ideally within a bureau or accountancy practice. Strong technical knowledge of UK payroll legislation. Proven experience managing and developing staff. Competent with payroll software and Microsoft Office, particularly Excel. CIPP qualification (or equivalent) or willingness to work towards. Strong organisational and prioritisation skills. Experience of leading system or process improvement projects. Familiarity with practice-based systems, Iris Staffology or similar.
