We are seeking a highly organised and proactive Personal Assistant to support the Director in managing daily administrative tasks and ensuring smooth operations. This role requires a professional with excellent communication skills, strong attention to detail, and the ability to handle multiple priorities efficiently. The successful candidate will be instrumental in maintaining the Director's schedule, coordinating meetings, and managing correspondence, contributing to the overall effectiveness of our organisation.
Responsibilities
Manage and maintain the Director's calendar, scheduling appointments and meetings with precision
Prepare and organise documents, reports, and presentations using Microsoft Office and Google Workspace
Handle incoming calls with professionalism, demonstrating excellent phone etiquette
Assist with data entry tasks, ensuring accuracy and confidentiality of information
Organise travel arrangements, including booking transport and accommodation when required
Liaise with internal teams and external contacts to facilitate communication and follow-up on action items
Maintain filing systems, both digital and physical, ensuring easy retrieval of information
Support general administrative duties such as photocopying, scanning, and ordering office supplies
Utilise QuickBooks for basic financial record keeping and expense tracking where necessary
Skills
Proven administrative experience with a strong background in office management
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Experience with QuickBooks or similar accounting software is desirable
Excellent organisational skills with the ability to prioritise tasks effectively
Strong data entry skills with high accuracy levels
Demonstrated clerical experience supporting senior management or executives
Exceptional phone etiquette and communication skills
Fast typing speed to facilitate efficient document preparation and correspondence
Ability to work independently with minimal supervision while maintaining a professional attitude
