We are seeking a highly organised and proactive Personal Assistant to support our Director in a dynamic office environment. The ideal candidate will possess exceptional administrative skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role is pivotal in ensuring smooth operations and effective communication within the organisation.
Duties
Provide comprehensive administrative support to the Director, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Source and procure contractors for projects
Handle phone calls with professionalism and courtesy, ensuring all communications are directed appropriately.
Perform data entry tasks accurately and efficiently, maintaining up-to-date records and files.
Utilise Microsoft 365 for document creation, management, and collaboration with team members.
Assist in preparing reports and presentations as required by the Director.
Maintain an organised office environment by managing supplies, filing systems, and other clerical duties.
Support financial management tasks using Xero for invoicing and expense tracking as needed.
Foster positive relationships with internal teams and external stakeholders through effective communication.
Requirements
Proven experience in an office or administrative role is essential.
Strong organisational skills with the ability to prioritise tasks effectively.
Excellent phone etiquette and interpersonal skills for professional communication.
Proficiency in Microsoft 365 applications (Word, Excel, Outlook, OneDrive) is required.
Familiarity with Xero is advantageous but not mandatory.
Ability to perform data entry with a high degree of accuracy.
A proactive approach to problem-solving and a willingness to learn new skills.
Strong attention to detail and ability to work independently as well as part of a team.
