We are seeking a highly organised and proactive Personal Assistant to support our Director. This role is essential in ensuring the smooth operation of the office and requires a candidate with strong administrative skills and attention to detail. The ideal candidate will be adept at managing multiple tasks, possess excellent communication skills, and have experience with various office software.
A full driving license is also required for various travel that will be required - company vehicle and pool car will also be organised for the successful applicant however use of own car is essential from day one.
Responsibilities
Provide comprehensive administrative support to the Director, including managing schedules and appointments.
Handle correspondence, including emails and phone calls, demonstrating excellent phone etiquette.
Maintain accurate records and assist with data entry tasks as required.
Prepare documents and presentations using Microsoft Office and Google Workspace.
Organise meetings, including logistics such as venue arrangements and catering if necessary.
Assist with bookkeeping tasks using QuickBooks, ensuring financial records are up to date.
Conduct clerical duties such as filing, photocopying, and scanning documents.
Collaborate with other team members to ensure efficient office operations.
Requirements
Proven administrative experience in an office environment is essential.
Strong organisational skills with the ability to prioritise tasks effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Experience with Xero is advantageous but not mandatory.
Excellent typing skills with a high level of accuracy in data entry tasks.
Strong clerical skills with attention to detail in all aspects of work.
Ability to maintain confidentiality and handle sensitive information appropriately.
