The Product Admin Assistant provides coordinated administrative, onboarding, training, and operational support across Buying, Merchandising & Design. The role ensures smooth induction for new joiners, supports systems and process training, assists with team development activity, and delivers efficient day-to-day admin and scheduling support for Product teams and senior leaders.



Responsibilities:



Induction & Training Support


Coordinate onboarding sessions, schedules, invites, and materials for new joiners and liaise with IT to get them on the correct email/teams groups. Prepare training documents, guides, and resources, maintain an up-to-date learning library. Liaise with the internal comms team to ensure events are scheduled in the calendars. Support delivery of systems and process training by managing logistics and documentation. Track attendance, feedback, and training completion data. Liaise with IT, L&D, and Product Leadership to keep training content current.


Team Development & Recruitment Support

Assist with coordinating upskilling sessions and development activities. Maintain trackers for vacancies, starters, leavers, and organisational charts. Support recruitment administration in collaboration with the People Team, such as scheduling interviews, preparing candidate packs, and processing forms.


Product Administration

Coordinate travel, meeting schedules, and diary support for Product teams. Manage bookings, itineraries, documentation, and cost tracking. Prepare meeting packs, agendas, and activity logistics. Process invoices, expenses, and maintain accurate departmental records. Support office admin tasks: stationery, room bookings, vendor liaison, compliance checks.


Skills:


Strong organisation, planning, and multitasking ability. Excellent attention to detail and proactive problem-solving. Clear communication and confident stakeholder coordination. Proficient in Microsoft Office and comfortable learning new systems. Able to manage last-minute changes in a fast-paced environment.
