The Role
You'll be responsible for overseeing the day-to-day running of the Projects office, supporting a team of project managers, planners, engineers, and coordinators. From managing workflows and reporting to improving processes and ensuring compliance, you'll be at the heart of keeping things organised, efficient, and professional.
Key Responsibilities:
Oversee all administrative functions for the Projects Division
Support the team in planning and executing project schedules and documentation
Line manage a small support team, including workload delegation and performance reviews
Coordinate meetings, prepare reports and minutes, and follow up on action points
Monitor and maintain office systems, procedures, and supplies
Support with internal communications and information flow between departments
Ensure all H&S, quality, and compliance documentation is accurately maintained
Liaise with clients and subcontractors where required, maintaining professional relationships
Work closely with senior management to drive improvements and support decision-making
Use internal systems (including CRM, job management tools, Excel, etc.) to ensure accurate data handling
About You
We're looking for someone who thrives on structure, clarity, and efficiency - but who's not afraid of the fast-moving nature of the engineering world. You'll need to be confident working with technical teams and capable of spinning multiple plates while keeping everything on track.
Requirements:
Proven experience as an Office Manager or in a senior administrative leadership role
A background in construction, engineering, utilities, or similar technical sectors preferred
Excellent organisational and time management skills
Strong IT and systems knowledge - particularly with Microsoft Office and databases
Confident communicator, both written and verbal
Experience managing or mentoring a small team
High attention to detail and accuracy, especially with documentation and compliance
A proactive, hands-on attitude and a willingness to take ownership
