Equans is looking for a Projects Administrator to join our team based at Queen Elizabeth Hospital, Birmingham on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package

The Projects Administrator carries out the role according to onsite processes and procedures. The position ensures that Equans are able to meet contractual obligations whilst simultaneously providing an excellent service to our customers.



The Projects Administrator makes up part of the Projects Team which contributes to the effective and operation of the projects Service that is conducive for the delivery of Healthcare.



In this role, you must be able to deal customers and clients at all levels. The post holder must have effective communication skills to liaise with the customer and be able to work under minimum supervision levels.




What will you deliver?






Maintain the Variations & Lifecycle tracker and any other project log/tracker. Ensuring the most current information and status of each VO is available and updated regularly. Management of contractual administration process associated with Variation & Lifecycle i.e., coordinating and maintaining all associated documentation and KPI's. Liaison with Wards/Departments to ensure constant communication with regards to the status of works. Attend meetings associated with Variations & lifecycle and share the tracker for project managers to provide updates to the client and hospital estates team. Assist in invoicing process upon completion or at agreed stages of projects in agreement with SPV and Trust. Assist in Managing and completing the WIP process to ensure cost control is achieved and WIP is kept to a minimum. Assist in Managing and updating POEM to ensure cost control is achieved. Assist other colleagues in the management of ongoing operational costs on completion of a project. Raise appropriate orders, receipt, and assist managing contractor invoicing. Liaison with SPV and Trust to ensure completion and approval of all variations & Lifecycle works. Liaison with other site personnel and client representatives including Trust wards and departments, other service providers, suppliers, contractors etc as appropriate. Assist in the maintenance of Handover records & filing system on completion of each variation & Lifecycle projects. Efficiently and accurately use the computerised systems & company software daily, producing information as and when required. Organise, attend and participate in all training courses as required and to undertake any training in the future as may be required to ensure the duties of the post are effectively carried out. Familiarisation of the Operation and Site. Provide administrative support in keeping records on each variation & Lifecycle, producing reports and general office administration. Act as first point of contact for internal and external parties providing information on variation. Ensure all documentation forms part of the onsite central filing system. Any other duties deemed necessary by the Project & Lifecycle Co-ordinator.

Who are you?






Educated to A-level standard. Higher Education qualification desirable. Comprehensive Administrative experience in a busy office environment. Proficient use of Microsoft Office applications including Word, Excel and Outlook. NHS/Hospital experience. Experience working in a Project role. Previous experience working with COUPA would be an advantage. Flexible approach to working. Sound organisational/co-ordination skills. Good Health & Safety knowledge. Awareness of Confidentiality.




This role includes a Basic DBS check therefore ability to pass is essential.
