We are seeking a highly organised and proactive Property Administrator to join our Block Property Management team. The successful candidate will provide administrative support to Senior Management , ensuring the smooth and efficient running of residential and mixed-use developments. This role is central to maintaining excellent service standards, ensuring compliance, and supporting the day-to-day operations of our property management portfolio.
Key Responsibilities
Administrative Support
Act as the first point of contact for leaseholders, residents, and contractors, handling enquiries promptly and professionally.
Maintain accurate property records, databases, and management systems.
Prepare and issue correspondence, notices, and reports on behalf of the Block Management Department.
Support the coordination of statutory compliance, including fire safety, gas safety, electrical testing, and other regulatory requirements.
Manage service charge administration, including issuing demands, processing payments, and liaising with the accounts team.
Assist in the preparation of budgets and financial reports for client boards and residents' management companies.
Resident & Client Liaison
Handle day-to-day enquiries from residents and leaseholders via email, telephone, and ticketing systems.
Support the organisation of Annual General Meetings (AGMs) and residents' meetings, including minute-taking and document preparation.
Maintain strong client relationships by ensuring clear communication and timely responses.
Contractor & Works Coordination
Liaise with contractors to schedule maintenance and repairs.
Track progress of works and ensure completion to the required standard.
Assist with the tendering process, obtaining quotes, and compiling contractor documentation.
Maintain compliance documentation such as insurance, risk assessments, and health & safety records.
Skills & Competencies
Strong organisational skills with excellent attention to detail.
Clear and professional written and verbal communication skills.
Ability to manage multiple tasks, prioritise workload, and meet deadlines.
Strong IT skills, including Microsoft Office and property management software (e.g., BlocksOnline preferred).
Customer service-focused with a diplomatic and approachable manner.
Ability to work both independently and as part of a team.
Experience & Qualifications
Previous experience in a residential property or block management role is desirable.
Knowledge of property legislation, health & safety compliance, and leasehold management (advantageous but not essential - training provided).
Willingness to undertake professional development (e.g., IRPM qualifications).
