Purchasing Manager

The Stafford London hotel.




We are seeking a highly organised and detail-oriented Purchasing & Cost Control Manager to lead our purchasing operations at our 5-star luxury hotel in London. This role is responsible for managing the end-to-end supply chain of all food, beverage, and non-food items consumed within the hotel, ensuring exceptional quality, timely delivery, and cost-effectiveness.


The ideal candidate will have extensive experience in hospitality purchasing and cost controlling, a deep understanding of supplier management, and proficiency with procurement software, particularly Procure Wizard.

About the role, what will I be doing?

Procurement & Vendor Management




Oversee the procurement of all F&B and non-F&B goods (e.g., housekeeping supplies, guest amenities, operational equipment).

Source, negotiate, and maintain relationships with approved vendors to ensure quality, reliability, and competitive pricing.

Ensure all purchases are aligned with the hotel's brand standards and sustainability goals.

Evaluate and onboard new suppliers in line with procurement policies.

Inventory & Logistics




Manage inventory levels to ensure optimal stock without over-ordering or waste.

Coordinate with culinary, housekeeping, engineering, and other departments for accurate demand forecasting.

Oversee the storage, receipt, and distribution of goods to appropriate hotel departments.

Implement and monitor stock rotation, shelf-life management, and waste reduction strategies.

Systems & Reporting




Administer and optimize the use of Procure Wizard for purchasing, inventory control, supplier databases, and approval workflows.

Prepare and submit monthly procurement reports, including budget variance, cost analysis, and consumption trends.

Ensure compliance with internal controls, audit requirements, and health & safety standards.

Track and report KPIs related to purchasing efficiency, cost savings, and supplier performance.

Team Leadership & Collaboration




Lead and train the purchasing team, ensuring high performance and adherence to SOPs.

Collaborate closely with the Finance, Culinary, Housekeeping, and Engineering teams to align purchasing with operational needs.

Participate in the budgeting and forecasting process relating to procurement and logistics.
