Autism at Kingwood is a small but growing charity based in Didcot, Oxfordshire, supporting around 140 autistic adults across the Thames Valley to live the lives they choose. This is a vital role in a busy HR team, with a particular focus on recruitment, onboarding, and maintaining accurate HR systems.
This is an exciting opportunity for a Recruitment Administrator to join our small, dynamic, and friendly Human Resources team for a 12-month maternity cover contract.
About You
We need you to be enthusiastic, proactive, organised, and approachable person who enjoys working in a busy people-focused environment. In turn we can be flexible and offer hybrid working once you're up to speed.
You'll be stepping into a vital role within a busy HR team and need to be someone who can assist with areas that sit within HR. This is likely to involve, amongst other duties, the recruitment and selection process for the organisation, to include the setting up and maintaining of all employee personnel files, handling general duties such as answering sponsorship queries, filing & scanning documents whilst supporting other departments with all things recruitment!
Key Responsibilities
Oversee the recruitment of both non-sponsored and sponsored workers and displaced individuals, ensuring full compliance with UKVI regulations and roles listed on the occupational shortage list.
Coordinate and support the end-to-end recruitment process, including shortlisting and scheduling interviews.
Responsible for ensuring all the relevant pre-employment and on-going checks are made, monitored and reported on to include: Right to Work in the UK documents, DBS/background checks, and all referencing ensuring full legal compliance.
Prepare and maintain all new starter documentation such as offer letters, contracts of employment and other onboarding documents.
Ensure all new starter paperwork is uploaded to the HRIS efficiently and in line with employment checklists on the system.
Monitor and manage the HRIS inbox, providing timely first-line responses and advice in line with your role.
Ensure accurate monthly data transfer from the rota system to the HRIS.
Managing the absence and sickness
Keep the HRIS up to date and accurate, supporting data integrity across all employee records including report running.
Maintain accurate and confidential HR records and electronic personnel files in compliance with GDPR requirements.
Provide general HR administrative support as needed.
Essential Criteria:
Minimum 2 years' experience in an administrative or similar office-based role.
Strong IT skills, including proficiency in MS Word, Excel, PowerPoint and Outlook.
Excellent written and verbal communication skills and attention to detail.
Ability to work on your own initiative and manage multiple tasks effectively.
Confident and professional manner when dealing with internal and external stakeholders.
Desirable:
Previous HR Admin/recruitment experience.
Experience of working with HR Systems would be preferable but not essential.
An understanding of the UK sponsorship system an advantage.
Knowledge or experience of the social care sector or working for a charity.
