We are seeking a highly organised and detail-oriented Rota Coordinator and Office Administrator. The successful candidate will play a key role in ensuring the smooth day-to-day running of Home From Home Support Limited's domiciliary care operations. The post holder will be responsible for the effective coordination and maintenance of staff rotas across a medium-sized caseload, ensuring continuity and quality of care for the people we support.
Responsibilities
Rota Coordination
Develop and maintain weekly and monthly staff rotas for domiciliary care services, ensuring appropriate coverage in line with care plans and contractual requirements.
Manage short-notice changes, staff absences, and annual leave while maintaining service continuity.
Liaise closely with Managers and the central functions team to ensure rotas reflect staff skills, availability, and training compliance.
Communicate rota updates clearly and promptly to staff using the organisation's ECM system.
Monitor rota accuracy and highlight any discrepancies in hours, mileage, or pay information to payroll and HR.
Contribute to on-call preparation and handovers, ensuring the service remains appropriately staffed and informed.
Office Administration
Provide day-to-day administrative support to ensure the smooth operation of the Head Office.
Manage incoming calls, correspondence, and emails, ensuring efficient communication and professional handling of enquiries.
Maintain organised filing systems (digital and hard copy) for care documentation, HR files, and correspondence.
Support the Responsible Individual and management team in the preparation of reports, audits, and compliance documentation.
Assist in maintaining office supplies, equipment, and resources, ensuring cost-effective ordering and stock management.
Coordinate meeting arrangements, prepare agendas and minutes, and ensure timely follow-up on actions.
