Job Description

As a Sales and Office Administrator, you play a key role in supporting sales, customer service, and wider business operations. Your responsibilities include processing customer orders, handling enquiries, coordinating with logistics providers, and maintaining accurate records in the HubSpot CRM. In addition, you will take on a more proactive, phone-based customer service role, building relationships with existing customers, supporting the sales team through customer contact and follow-up activity, and helping to identify and progress opportunities. You also provide essential administrative support by compiling customer assets, preparing sales documents, performing sales admin tasks, and supporting senior staff. Your role is crucial in ensuring seamless communication between departments, strengthening customer relationships, and enhancing overall sales efficiency.

Key Responsibilities:



Process customer orders accurately and efficiently to support smooth sales operations.

Liaise with third-party logistics providers and couriers to ensure timely and accurate delivery of orders.

Handle customer enquiries regarding orders, simple product quotes, and complaints in a professional and courteous manner.

Perform administrative tasks related to sales and customer service, including data entry, documentation, and order tracking.

Provide essential sales and customer information to other departments as required.

Maintain accurate records of customer interactions, orders, and related information.

Work closely with the sales team to ensure a high level of customer satisfaction.

Assist in resolving any logistical or order-related issues efficiently and effectively.

Contribute to continuous process improvement by identifying potential areas for enhancing customer service.

On the Phone / Proactive Customer Contact Responsibilities:



Build and maintain positive relationships with existing customers through regular outbound and inbound calls.

Follow up on existing customer opportunities, including upsell and cross-sell activity identified by the sales or marketing teams.

Support the sales team by making outbound calls to arrange customer meetings, confirm appointments, and prepare customers ahead of visits.

Proactively contact customers to check satisfaction, gather feedback, and identify additional support needs.

Update HubSpot CRM with accurate notes of customer conversations, actions, and outcomes.

Support customer retention and engagement initiatives through structured call activity and follow-ups.

Additional Sales and Administrative Responsibilities:



Compile and deliver essential customer assets such as Application Guides, Safety Data Sheets, Compliance Manuals, and Training Certificates.

Create and manage essential sales documents, including proposals, reports, and milestone plans.

Update HubSpot CRM with new customer and deal information provided by the Sales team, ensuring data accuracy.

Coordinate the HubSpot Service Hub.

Support Sales by compiling required customer information, spend reports, visit packs, and other essential materials.

Assist in preparing key documents for customer visits, ensuring Sales has all necessary information available.

Executive Assistant Responsibilities:



Perform required Executive Assistant duties for senior staff including, for example:

o Managing diaries

o Managing email

o Logging project hours (weekly)

o Recording KPIs (weekly)

Proficiency in using CRM systems, order processing software, and Microsoft Office Suite.

Attention to detail and accuracy in processing orders and handling customer information.

Ability to liaise with third-party logistics and courier services.

Comfortable engaging proactively with customers to support relationships and sales activity.

Your role is essential in maintaining efficient sales operations, strengthening customer relationships, and providing valuable support to both customers and internal teams. Your expertise in administration, customer service, and proactive customer contact ensures that sales processes run smoothly and effectively.

Job Type: Full-time

Pay: 24,500.00-26,500.00 per year
