A

minimum

of 2 years proven experience in a scheduling role or similar type of role Excellent communication skills to accurately convey important information over the phone, in person or via email to clients and technicians Professionalism to communicate in a polite and professional manner Exemplary problem solving skills with the ability to quickly resolve scheduling and logistics conflicts Knowledge of health and safety protocols and practices High degree of attention to detail Ability to accurately input data Knowledge of other computer programs such as Word, Excel and Outlook Excellent judgement and decision making skills

JOB SUMMARY:


The Scheduling Coordinator is responsible for managing and optimising the daily and weekly schedules of the cleaning technicians to ensure all client work is completed efficiently and on time. This role requires excellent organisational skills, attention to detail, and effective communication to ensure the Technician Work App is always up to date. The Scheduling Coordinator will be in constant communication with technicians throughout the day to address any schedule changes, client needs, or operational issues. you must have a proactive attitude, experience in scheduling or dispatching, and strong interpersonal skills to ensure the smooth delivery of services.

KEY RESPONSIBILITIES:



SCHEDULE MANAGEMENT:



Plan, create, and manage daily and weekly work schedules for all cleaning technicians, maintaining and adjusting schedules based on business & client requirements, ensuring all client contracts and jobs are covered efficiently Assign technicians to jobs based on their availability, location, and skills to maximise productivity and reduce downtime Adjust schedules in real-time in response to last-minute changes, client requests, or technician absences, and communicate updates to all relevant parties Monitor job progress throughout the day and ensure the timely completion of all scheduled tasks Coordinating with different departments to gather information necessary for scheduling Identifying and resolving scheduling conflicts and issues Monitoring schedule progress and making adjustments to the schedule as necessary Using scheduling software to accurately plan timelines and allocate resources Providing regular status reports and updates to management Assessing risks that may impact schedules and implementing mitigating actions Collaborating with project teams to understand work processes and lead times Ensuring compliance with company policies and regulations in creating schedules

TECHNICIAN WORK APP MANAGEMENT:



Ensure the Technician Work App is kept fully up to date with real-time information, including job details, schedules, locations, and any special instructions. Update the app with schedule changes, job completions, and technician feedback, ensuring accurate records for future reference. Troubleshoot and resolve any technical issues with the Technician Work App in collaboration with the IT team.

TEAM COMMUNICATION:



Maintain regular communication with technicians throughout the day to provide schedule updates, answer questions, and resolve any issues that arise. Act as the main point of contact for technicians, providing support with client instructions, directions to job sites, and operational guidance. Ensure technicians understand their daily work assignments and any special requirements for each job.

CLIENT COORDINATION & RELATIONSHIP MANAGEMENT:



Communicate with clients as needed to confirm scheduling, manage expectations, and provide updates on the status of ongoing work. Proactively address and resolve any scheduling conflicts or client concerns, ensuring customer satisfaction. Provide feedback to the operations team on recurring scheduling challenges and suggest improvements to processes.

DATA ENTRY & ADMINISTRATION:



Accurately enter job details, technician hours, and other relevant data into company systems, ensuring up-to-date and reliable records. Prepare daily and weekly reports on technician productivity, completed jobs, and scheduling efficiency for management review. Monitor and track the performance of the scheduling system and identify opportunities for process improvement. Provide administration support to the Office Manager and Operations Manager where required, including but not limited to, the preparation of PQQ submissions and preparation of RAMS

COLLABORATION WITH OPERATIONS:



Work closely with the operations team to align technician schedules with broader operational goals, including client satisfaction, service quality, and cost efficiency. Collaborate with the HR department on technician availability, shift changes, and holiday planning to avoid scheduling conflicts. Provide input on staffing needs and resource allocation to ensure schedules are covered effectively
