Job Summary



We are seeking an organised, detail-oriented professional to coordinate engineering visits for both installations and break fix services. This role is integral to ensuring the smooth execution of project deployments and timely resolution of technical issues, by scheduling, tracking, and communicating with engineers and customers throughout the process. The ideal candidate will oversee permit and RAM documentation, check in with engineers to confirm they understand their daily assignments, monitor their progress, and provide up-to-date information to our customers regarding any schedule changes.

Key Responsibilities



Scheduling & Coordination:



Schedule engineer visits for project installations and break fix repairs, ensuring that all appointments align with project timelines and customer expectations. Organise daily, weekly, and monthly schedules while balancing resources effectively.

Operational Support:



Check in regularly with engineers to verify that they have clear, actionable directives for their daily assignments. Track engineer movements using tracking tools to monitor progress and ensure timely completion of tasks.

Documentation & Compliance:



Prepare and manage the necessary permit applications and RAM (Risk Assessment Method Statements) documentation. Verify that all permits and RAMs comply with regulatory standards and internal policies. Book accommodation for engineering team. Review timesheet reporting monthly and report discrepancies. Reviewing and paying fixed penalty fees

Customer Communication:



Serve as the primary point of contact for customers regarding scheduled visits. Proactively communicate any schedule changes, delays, or updates to customers, ensuring transparency and high customer satisfaction.

Reporting & Continuous Improvement:



Maintain and update scheduling databases and logs, generating regular reports on visit statuses, resource allocation, and project metrics. Collaborate with cross-functional teams to identify process improvements in field service operations.

Required Skills & Qualifications



Proven experience in scheduling, dispatch coordination, or logistics, particularly in technical or engineering environments. Strong verbal and written communication skills that enhance clear, effective interactions with engineers and clients. Excellent organisational skills and the ability to juggle multiple priorities in a dynamic work setting. Proficiency in scheduling software, tracking applications, and Microsoft Office Suite. A detail-oriented mindset with the ability to manage permits and compliance documentation accurately. Strong problem-solving skills and the ability to work autonomously as well as collaboratively within a team.

Preferred Qualifications



Experience in project management or operational roles within a technical or engineering context. Familiarity with industry-specific regulations and best practices for permits and RAMs. Demonstrated ability to adapt quickly to changes and effectively manage crises or unexpected schedule adjustments.
