Job Role: Scheduling Co-ordinator



Location: New Milton



Hours: 35 hours per week, Monday to Friday



Salary: 24,250 plus benefits

Main Purpose of Job



We're looking for a dynamic and detail-oriented Scheduling Coordinator to join our high-performing process team. If you're someone who thrives in a fast-paced environment, loves solving problems, and is always looking for smarter, more efficient ways to work -- this role is for you.

You'll play a key role in keeping our operations running smoothly by managing the scheduling of site visits, coordinating with property managers, and ensuring our team members are set up for success. You'll be the go-to person for all things scheduling, helping to drive performance, meet SLAs, and deliver an exceptional experience to our clients.

Position in Organisation



This role reports to the Head of Business Processes with direction from the Operational Managers (Surveying and Fire Safety). This role is based in New Milton, with a minimum of 3 days a week in the office.

Main Responsibilities



Own the Scheduling Process

- Process new instructions, recording client purchase orders and allocate jobs to the most suitable team member based on location, availability, and expertise.

Coordinate Site Visits

- Liaise with property managers and stakeholders to confirm access and schedule appointments efficiently.

Be the Point of Contact

- Manage enquiries related to team members' availability, reschedule appointments, and keep everyone informed. Address queries relating to client purchase orders and billing information

Support Operational Flow

- Ensure all documentation is accurate and up to date, to proceed with the completion of a job and proceed with billing.

Assist with Billing & Quotes

- Collate weekly billing data for completed jobs and draft price quotes for new instructions.

Drive Performance

- Track SLAs and KPIs, flag bottlenecks, and work closely with surveyors and managers to keep the job pipeline moving.

Experience



Proven experience in scheduling, coordination, or administrative roles (experience in property or surveying is a plus). Strong organisational and time management skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office and scheduling software (e.g., Excel, Outlook, Creatio). Ability to multitask and adapt in a fast-paced environment. Attention to detail and a proactive approach to problem-solving.
