HR and Compliance Administrator - Safer Recruitment & Staff Records

Job Purpose:
To coordinate safer recruitment processes, maintain accurate staff records, and support HR and compliance functions across the school. The role ensures all legal and statutory obligations around staff vetting, employment, and safeguarding are fully met.
Key Responsibilities:
1. Safer Recruitment & Vetting
Update Candidate Tracker
: Maintain an up-to-date record of candidates throughout the recruitment process, including application forms and vetting evidence.
Update Single Central Register (SCR)
: Ensure that all recruitment details are accurately recorded and compliant with safeguarding guidelines.
Update Staff Leavers Register:
Ensure that staff files are archived correctly and retained for the correct retention period.
Job Advertising
: Advertise vacancies across relevant platforms, ensuring job descriptions and person specifications are clear and accessible.
Candidate Vetting
: Conduct vetting procedures, including initial assessments of candidate qualifications and experience.
Interview Scheduling
: Organize and coordinate interviews for candidates, ensuring smooth communication with hiring managers and candidates.
Interview Minutes
: Record accurate and detailed minutes of interviews to support the decision-making process.
Safeguarding:
Carry out DBS checks, Overseas checks, Right to Work checks, and reference verification.
Coordinate staff inductions and issue contracts.
2. Safer Recruitment Checks:
Reference Checks
: Conduct and verify references provided by candidates to ensure suitability.
DBS Checks
: Coordinate and follow up on Disclosure and Barring Service checks.
Overseas Checks
: Conduct necessary checks for candidates who have lived or worked abroad.
ID Checks and Verification
: Ensure that candidates provide the necessary identification documents as part of the recruitment process.
Qualification Verification
: Verify the qualifications claimed by candidates to ensure compliance.
Online Training:
Issue and oversee completion of Online Mandatory Training for all candidates before their start date.
Staff Induction:
Conduct Staff induction to ensure all Induction paperwork is completed before starting.
3. Staff HR Administration
Daily Updating of Staff Files
: Maintain accurate and up-to-date staff records, including training certifications, return-to-work forms, and risk assessments.
Staff Correspondence
: Handle general staff correspondence, including letters, contract renewals, and other formal communications.
DBS Update Service Check
: Ensure that all staff are registered with the DBS Update Service where applicable and conduct 6 month checks.
Minuting Internal Interviews:
Record accurate and detailed minutes of interviews to support the decision-making process and update the staff file with an accurate Interview history process.
4. Meeting Support & Minutes
Record and distribute minutes for SLT, HR, Governors, and other core meetings.
Track action points and updates required post-meeting.
5. Training Schedule for Staff
:
Develop and maintain an ongoing training schedule for the entire staff team. - Sending Training Reminders to staff- Scheduling training for each staff member- Update Training Matrix regularly
6. Compliance & Systems Oversight
School Systems:
Assisting with the Data Entry and transferring of data from Schoolpod to ET-Aims.
IT Support:
Monitor IT equipment allocation, overseas ordering and repairs scheduling.
GDPR:
Oversee GDPR processes.
Support Subject Access Requests
Inspection Presentations
: Assist in the preparation and coordination of inspection-related documentation and presentations.
Website:
Assist with website updates including audits of the policy renewal dates.
7. Overseeing the school administration team
Ensuring their deadlines are met
Oversee workload management
Required Skills and Knowledge
Strong understanding of Safer Recruitment and HR compliance.
Excellent attention to detail, particularly around statutory vetting requirements.
High-level administrative and organisational skills.
Discretion and professionalism in handling confidential data.
Familiarity with Schoolpod/Eduspot, DBS Update Service, G Suite, and Microsoft Office.
