Role Overview
At London Psychiatry Clinic we pride ourselves on a supportive and collaborative environment dedicated to patient well-being. We are seeking a confident, professional, and highly organised Senior Front of House Receptionist to take full responsibility for our reception and patient-facing services at 60 Harley Street. This is a pivotal role at the heart of the clinic, ensuring patients and visitors receive an exceptional experience from the moment they arrive. The successful candidate will have strong senior reception experience (ideally in a healthcare, hospitality or professional services setting), combined with excellent organisational skills and the ability to manage day-to-day operations at reception. While the role's primary focus is on leading the front of house function and patient journey, it will also involve some administrative and some medical secretary duties supporting our clinicians.
Key Responsibilities1. Front of House Leadership
Take ownership of the reception area, ensuring a professional, calm, and welcoming environment at all times.
Manage patient arrivals, waiting areas, and patient flow, ensuring a seamless and positive first impression that aligns with the clinic's elevated service standards.
Lead by example in delivering excellent patient care, ensuring discretion, empathy, and confidentiality
Act as the first point of escalation for any reception, clinic or patient issues, resolving them promptly and professionally
Coordinate daily schedules and proactively communicate with clinicians and the admin team to ensure smooth clinic operations.
Ability to effectively problem-solve and diffuse sensitive situations with professionalism and tact.
Delivering a consistently caring and compassionate service to patients and visitors, ensuring a positive experience.
2. Reception & Patient Support
Warmly welcome patients, visitors, and clinicians on arrival.
Provide information and assistance to patients, maintaining confidentiality and professionalism.
Support billing processes and take payments where required.
Ensure the reception team and processes support efficiency, safety, and a high-quality patient experience.
Actively encourage and support patient feedback to aid in the development and improvement of our high-quality service delivery.
Maintain a tidy, safe, and welcoming reception and waiting area at all times.
3. Administrative & Medical Secretary Support
Manage phone calls and inboxes, triaging messages and ensuring timely responses.
Support diary management and communication for allocated clinicians.
Proofread and send clinical correspondence securely.
Manage repeat prescription requests in coordination with clinicians.
Upload and manage clinical documentation on the patient records system.
Provide cover for colleagues during leave or sickness.
4. Post, Courier, and Stock Control
Log, distribute, and send mail daily as required
Book and coordinate couriers for prescriptions as required
Monitor and reorder clinic supplies
Assist with basic printing, scanning and clinic preparation and support for clinicians
5. Health & Safety and Facilities Support
Conduct regular premises checks for cleanliness, safety, and functionality
Support fire safety procedures (evacuation, alarm testing, first aid readiness)
Escalate and log any building or maintenance issues and assist with coordinating contractors when necessary
Monitor and support equipment compliance (defibrillator, fire extinguisher checks)Support the Admin Manager and Practice Manager with routine audits and compliance logs
Skills & Experience
Significant experience as a Senior Receptionist, Front of House or equivalent role.
Previous experience in a healthcare or clinical environment with some medical secretary or administrative background desirable.
Strong organisational and problem-solving skills with the ability to take ownership of tasks.
Excellent communication and interpersonal skills, with the ability to handle sensitive situations calmly and professionally.
Confident using IT systems, G-Suite (Docs, Sheets, Gmail, Calendar), and ideally patient record systems (e.g., Carebit).
Friendly, professional manner with a commitment to delivering excellent patient care.
High standard of discretion and respect for confidentiality.
