Job Description

We are seeking an organised and dependable

Service Administrative Assistant

to support our Service Team.

This position plays an important role in assisting the Service and Compliance Manager by providing high-quality administrative support across service projects, engineering maintenance schedules, and contract renewals.


The role is suited to individuals with strong attention to detail, excellent communication skills, and the ability to manage multiple administrative tasks in a professional and efficient manner.


Key Responsibilities




General Administration




Assist the Service and Compliance Manager with service projects, maintenance visits, and contract renewals Create and maintain accurate electronic customer records Communicate with customers and suppliers by phone and email Support general administrative duties as required to ensure smooth daily operations

Service Department Support




Raise and process purchase orders for parts and materials Prepare and send order confirmations to customers Set up and maintain new customer files and service records Draft and manage maintenance contract documentation Schedule maintenance visits, coordinate engineer diaries, and ensure all required documentation is issued Follow up on maintenance confirmations, contracts, and remedial visits Record completed maintenance and remedial works accurately in customer databases

Relationships and Communication




Reports to:

Service and Compliance Manager

Works closely with:

Operations, Service Team, and field engineers

External contacts:

Customers, suppliers, and subcontractors via phone and email
You will also be expected to support management with any reasonable tasks that contribute to the effective running of the department.

Fluent in English, both written and verbal Numerate and literate with strong administrative accuracy Excellent organisation and time-management skills Confident communicator and able to handle customer interactions professionally Strong IT proficiency, including Microsoft Word, Excel, Outlook, and web applications Previous office-based administrative experience (minimum 2 years preferred) Experience liaising with customers and suppliers Self-motivated with high attention to detail and a proactive attitude

Requirements




Must currently reside in the

United Kingdom

Right to work in the UK is required Education: GCSEs or equivalent (preferred) Experience: Minimum 2 years in administrative or customer support roles (preferred)

Compensation and Benefits




Salary:

30,000 - 36,000 per annum (depending on experience)
