Service Co-ordinator / PA

to join our team. This dual-role position supports the effective coordination of our Service Team while providing personal assistant support to the Director.

Key Responsibilities:



Service Coordination:



To generate quotations and co-ordinate planned visits, maintenance work and training

To deal with reactive jobs/queries from customers and liaise with the service manager

To provide support to the technical service Director and service engineers

To generate HV numbers for all service visits and update and maintain the diary

To maintain and update CRM

To ensure that engineers reports are received 'on time' and are accurate

To chase, price and input on to Sage all service work ensuring that the information is accurate before the customer is invoiced

To co-ordinate with sales on the follow up of quotations

To ensure customers are charged for hire drives on a weekly/monthly basis when required

To take responsibility for the provision of Customer Service Contract work

To deal with site warranty (via Halcyon Engineer) 'Fax Back' and ensure we have an order and the correct documentation

To ensure that the engineer that attends an assessment provides a RAMS

PA Support to Director:



Manage and organise the Director's diary and workload to ensure effective time management.

Schedule meetings, handle correspondence, and prepare necessary documentation.

Act as the first point of contact for the Director with internal and external contacts.

Maintain confidentiality and handle sensitive information with discretion.

Required Skills & Experience:



Experience in a Personal Assistant or Executive Assistant capacity is highly desirable.

Strong organisational and multitasking skills.

Excellent communication and interpersonal skills.

High level of discretion, integrity, and professionalism.

Proficient in Microsoft Office and business management software.

PA Support to Director:
