In this role, you will be responsible for managing all aspects of fine art import and export shipments, ensuring compliance with HMRC and international regulations. This includes preparing accurate documentation, coordinating with clients and internal departments, arranging packing, transport, and storage, and keeping clients informed throughout the process. You will also prepare quotations and invoices in a timely manner, maintain accurate records, and support operations meetings and company procedures to ensure every shipment is delivered to the highest standard.Key Responsibilities
To keep up to date on all HMRC and other legislation and company procedures, to complete all necessary documentation and keep all records accurately
To ensure that all practical arrangements for export and import shipments are made; liaising with clients, working with transport, packing and storage departments to this end
To complete export & import documentation for Airfreight, sea freight & exhibition shipments
Ensuring all quotations are made within a timely manner.
Ensuring all shipments are invoiced in timely manner.
Ensuring all clients are kept informed as to all stages of their shipments and receive all relevant copy documentation
Where necessary and when requested by client, to oversee other aspects of shipping processes including; local / storage / import work
To attend operations meetings
To maintain and update Art Logistics internal shared documents covering all imports.
To comply with the requirements within Art Logistics Staff Operations Handbook and Quality Management System.
To arrange collections and deliveries with the client in consultation with the transport manager and make practical arrangements directly with our clients to ensure smooth collections and deliveries as required.
To arrange packing as required in a suitable manner, supplying packing room department with full packing sheets and relevant information
Skills, Knowledge and Expertise
In-depth knowledge of international shipping, import/export procedures, and HMRC compliance
Experience with airfreight, sea freight, road transport and exhibition shipments
Strong organisational skills with the ability to manage multiple complex shipments simultaneously
High attention to detail and accuracy in documentation and records management
Strong client communication skills, with the ability to manage expectations and build trust
Proactive problem-solving and decision-making in a fast-paced environment
Ability to collaborate effectively across transport, packing, and storage departments
Skilled in preparing quotations and invoicing in a timely and accurate manner
Competence in maintaining internal logistics records and systems
Commitment to quality standards and continuous process improvement
Flexibility to adapt to changing client needs and shipment requirements
